Wrenchwell setup guide
Wrenchwell runs the day after the booking: a dispatch board for the office, a personal job list on each technician's phone, On my way texts, checklists, photos, signatures and a job report for every visit. Setup takes about fifteen minutes.
1. Install and open
Install Wrenchwell on the business account from your CRM's app marketplace, then open it from the left menu. Anyone on the team can use the Dispatch and Timesheet tabs; Technicians, Job types and Settings are for account admins.
2. Add your technicians
Technicians tab: pick a team member and click "Add as technician". Each one gets a personal link. Click "Email link" or "Text link" to send it from your account, or "Copy link" and send it yourself. They open it on their phone; there's nothing to install and no login. Keep links private: anyone with a link sees that technician's jobs. "New link" stops the old one at once.
Your plan sets how many technicians you can add (5, 15 or 40; 15 during the free trial). Office users who only dispatch don't count.
3. Choose which bookings are jobs
Settings > Bookings that become jobs. "Every calendar" is on by default; turn it off and tick the calendars for site visits if you also book sales calls or other meetings. Each booking becomes a job for the booked team member, at the booking's address or the contact's address. Click "Bring in bookings" on the Dispatch tab once to bring in the next two weeks of bookings made before you installed.
Add your shop or office address under "The day's start": route suggestions start there.
4. Add job types and checklists
Job types tab > New job type. Give it a name (Furnace repair, Lawn visit, Move-out clean), tick the calendars whose bookings get this type, and add checklist items:
- Tick when done (Filter replaced), Yes or no (Gas leak found?), Number (Pressure reading), Text (Parts used), Photo (Before photo).
- Mark items Required: the technician can't finish the job until they're done.
- Set Photos required and Customer signature required for the whole job.
5. Customer messages and after-job steps
Settings:
- Text the customer when the technician taps On my way. Edit the text;
{first_name},{tech},{business}and{eta}are filled in.{eta}becomes "and should be there in about 25 minutes" when the technician's phone shares its position, and disappears otherwise. - Email the job report to the customer, add a note with the report link, tag the contact (default
job-done), mark the booking as showed, and reassign the booking when you reassign its job on the board.
6. The technician's day
On the phone: today's jobs in order. For each job: Directions, Call, then On my way, Arrived, the checklist, Add photo, notes for the report, the customer's signature, and Finish job. The days before and after are one tap away (a week back, two weeks ahead).
7. Dispatch
Dispatch tab: one column per technician plus Unassigned, and the day on the map with numbered stops in each technician's color. Use the menu on a job to reassign it, the arrows to change the order, and Suggest order to reorder a technician's day for the shortest drive from your shop (booked times don't change; the technician's page shows the new order right away). Click a job for its checklist, photos, signature, history and report.
8. Workflows
- Create job (action): adds a job for the workflow's contact: today, tomorrow, in a few days or on a date, at a
time, for a technician (email or name) and a job type (name). Custom variables:
job_id,job_status,scheduled_at,technician_name. - Technician on the way, Job started, Job completed (triggers): each carries the contact, job title and type, technician, ETA and, when finished, the report link and minutes on site. A common one: Job completed > wait 2 hours > send a review request.
9. Timesheet
Timesheet tab: per technician and day, jobs finished, time on site (Arrived to Finish) and drive time (On my way to Arrived). "Download CSV" for payroll.
10. Remove
Settings > Disconnect deletes every job, technician link, photo copy and setting we hold for the account and uninstalls the app. Reports already saved in your media library stay there.
