Wrenchwell privacy policy

Wrenchwell is made by Great Work LLC, 651 N Broad St, Suite 206, Middletown, DE 19709, USA ("we"). This policy covers the Wrenchwell app for your CRM's app marketplace and the pages at hl.greatwork.company/jobs, including the technician page your team opens on their phones.
What we collect
When you install Wrenchwell on a business account, your CRM gives us access tokens for the permissions you approve. We use them for that business account only.
Jobs. For each booking on the calendars you choose (and each job you or your workflows add), we store the booking id, the time, the assigned team member, the job title, type and status, and, about the customer on it: the contact id, name, phone, email and the job address. We look the address up on our address service to place it on the map and store the coordinates.
The work. What your technicians enter on a job: checklist answers, notes, the times they tap On my way, Arrived and Finish, photos and the customer's signature with the name they typed. Photos, signatures and job reports are saved to your own media library; we keep a copy of photos and signatures only to build the job report. If a technician taps On my way, their phone's position at that moment is used once to estimate the drive time and is not stored.
Your team. The names, emails and phone numbers of the team members you make technicians, and their personal link ids.
When you open Wrenchwell inside your CRM, your CRM shares a signed record of who you are (user id, name, email, role and business account id). We use it to confirm you belong to that business account and, for settings and technicians, that you are an admin.
What we do with it
Only what the app does for you: show jobs on the board and on your technicians' phones, suggest a route, text your customer when a technician is on the way, build the job report and save it to your account, email it to the customer, add a note and a tag to the contact, mark the booking showed, run your workflow triggers, and total the hours for the timesheet. We don't sell data, use it for advertising, combine it across customers or use it to train any model. The app makes no calls to any AI service.
Where it is stored and how it is protected
On our server in the United States (DigitalOcean, New York). Access tokens, customer details, addresses and coordinates, notes, checklist answers, photo and signature copies, technician details, settings and workflow subscriptions are encrypted at rest with AES-256-GCM. Connections use HTTPS. The technician page sets no cookies, loads nothing from other sites, can't be embedded in other pages and isn't indexed by search engines.
How long we keep it
- Photo and signature copies: 30 days after the job is finished or cancelled (the originals and the report stay in your media library, which you control).
- Jobs: two years after they are finished or cancelled, for your timesheets and history.
- When a contact is deleted in your CRM, we erase their name, phone, email, address, answers, photos and signature from their jobs; the times stay so your timesheets still add up.
- When you uninstall the app or click Disconnect, we delete everything for that business account immediately.
Sharing
Job addresses go to our address service (geo.greatwork.company, run by us, which uses Geocodio) to place them on the map, and, with the technician's position, to estimate a drive time. We use DigitalOcean (hosting). Otherwise we disclose data only if the law requires it.
Your choices
You choose which calendars become jobs, whether customers get the On my way text and the report email, whether the contact gets a note and a tag, and who is a technician. You can reset any technician's link at any time. Your customers can ask you to delete their data; deleting their contact in your CRM erases it from Wrenchwell too.
