Holitide: setup and user guide

What Holitide does

Holitide adds public holidays to your Zendesk business schedules. Pick the countries and regions each schedule closes for, check the preview, and apply. Holitide adds the missing holidays up to two years ahead (as far as Zendesk accepts), never adds one twice, and adds the next ones as the calendar moves forward. Business-hours SLAs, views, triggers, automations and reports then treat those days as closed.

Requirements

  • Business schedules: Zendesk Suite Growth or higher, or Support Professional or Enterprise. Enterprise plans can have several schedules; the others have one.
  • A Zendesk admin to set it up. Zendesk only lets admins change schedules, so only admins can add or remove holidays with Holitide. Agents can open it to see upcoming closures.

Install

  1. In the Zendesk Marketplace, open Holitide and choose Install. The 14-day trial starts and Zendesk asks for a card. Billing starts when the trial ends unless you uninstall: Standard is $29 per Zendesk account per month (up to 3 schedules), Unlimited is $59 (every schedule).
  2. Holitide installs nothing else: no ticket fields, triggers or objects.
  3. Open Holitide from the left navigation bar (the calendar with a star).

Set up a schedule

  1. Choose Set up next to the schedule.
  2. Countries and regions: pick a country and, if your team follows a state, province, nation or canton, that too, then Add. Add as many as the schedule covers, for example "United States" and "Canada, Quebec" for a team that serves both. A holiday two regions share becomes one closure ("Christmas Day (US, CA-QC)").
  3. Which days:
    • Public holidays are on by default. Bank holidays (for example Christmas Eve in Germany) and optional holidays (days many but not all employers close) can be added.
    • Observed days adds the day a region moves a weekend holiday to (July 4 on a Sunday is observed on Monday July 5).
    • Leave out holidays on days this schedule is closed anyway skips, for example, a Sunday holiday on a Monday to Friday schedule.
    • Add the region to each name writes "Labour Day (AU-NSW)" instead of "Labour Day", handy when several regions share a schedule.
    • Names in English or in the country's language appears when a region has local names.
    • Keep the schedule filled: as far ahead as Zendesk allows, or through the end of next year.
  4. Company days: your own closures, every year on a date (with a weekend rule: keep it, move to Monday, or move to the nearest weekday), every year on a weekday (the last Friday of June), or once. They can last up to 14 days.
  5. Preview: each year's holidays with what will happen to each. Untick a holiday to stay open on it; that applies every year.
  6. Choose Save and update Zendesk. The progress line shows each holiday as it is added. Or Save settings only to keep the setup without changing the schedule yet.

What each status means

StatusMeaning
Will be addedNot on the schedule yet; added when you apply
In ZendeskAlready on the schedule with the same dates and name
CoveredA holiday you added yourself already covers these dates; nothing is added
Same dayAnother selected holiday closes the same day; one closure is enough
Closed anywayFalls only on days the schedule is closed
Not closingYou unticked it
LaterInside Zendesk's window but past the horizon you chose
Not yet openMore than two years ahead; Zendesk accepts it from the date shown
PastAlready happened; never changed

Next year

Zendesk accepts holidays up to two years ahead, so new dates open every day. When an admin opens Holitide:

  • With Add new holidays automatically when an admin opens Holitide on, the newly open dates are added right away and a message says how many.
  • Otherwise the main page shows a reminder with the count for each schedule. Open the schedule and apply.

Changing a setup later

Remove a region, untick a holiday, turn off bank holidays or change the name style, then apply: Holitide removes the upcoming holidays it added that no longer fit and adds what is missing. It only ever removes holidays it created (it keeps their ids). Past holidays stay, so your reports for past periods do not change.

Removing what Holitide added

On a schedule's page, Remove holidays Holitide added deletes the upcoming holidays Holitide created on that schedule. Holidays you added by hand stay.

How duplicates are avoided

Before every change Holitide reads the schedule's holidays again. A holiday is added only if nothing on the schedule already has the same dates and name and nothing overlaps its dates. If a request fails in a way that leaves it unclear whether Zendesk saved the holiday (a timeout), Holitide reads the schedule again before retrying, so the same holiday is never created twice.

Holiday data

The dates for 200+ countries and their regions ship inside the app (from the date-holidays project, CC BY-SA 3.0, which draws on Wikipedia), so Holitide calls no outside service. They cover through 2036. Governments sometimes add or move holidays at short notice: check the preview for the dates that matter to you, add one-off closures as company days, and tell us about any error at hello@greatwork.company so we fix it for everyone.

Your data

Holitide reads your business schedules and their holidays, and writes holidays to them. Its own setup is saved in a hidden setting on the app installation in your Zendesk. It reads no tickets or customer data, keeps nothing outside Zendesk, uses no AI and sends nothing to Great Work LLC or anyone else.
