Whenwell privacy policy

Who is who
You are the owner of the Wix site where Whenwell is installed. Your customers are the people who shop on your site. Whenwell processes data on your behalf, only to schedule your deliveries and pickups.
What we store
- Your site's app instance: the Wix app instance id, site id, published site address and name, and your plan status (from Wix).
- Your schedule: time slots, order limits, lead time, cut-off, closed dates, delivery zones (postcode patterns), pickup locations, the names of the delivery options your checkout uses, and your settings.
- Bookings: for each chosen time, the Wix cart (checkout) id and, once the order is placed, the order id and number, delivery or pickup, date, time slot, pickup location and delivery zone name. Bookings are deleted 400 days after their date. Unpaid holds are deleted a day after they expire.
- Sessions: a random token for each dashboard session, deleted after 12 hours.
What we never store
Your customers' names, email addresses, phone numbers, postal addresses, postcodes or payment details. When a shopper chooses a time, we read their cart from Wix to see which delivery option they picked and which zone their postcode falls in, then drop the postcode. The picking list reads names, phone numbers, addresses, items and notes from your Wix orders at the moment you open or download it; they're sent to your browser and not kept on our server. We don't use your customers' data for anything else, don't build lists from it, and don't share it.
What we write to Wix
The chosen time is written to the shopper's cart and order as Whenwell fields (shown in your Orders list), as a comment in the order's timeline, and, if you turn it on, as a line at the top of the order note.
Cookies and the live site
Whenwell's checkout, thank-you and product-page parts set no cookies and use no browser storage. They identify the shopper's cart with a Wix access token that Wix gives the page. Shoppers never see plan or account messages from us.
Where data goes
Our server in the United States (DigitalOcean, New York). Wix, through its API. No analytics, no advertising networks, no other processors.
Retention and deletion
When you uninstall Whenwell, sessions are deleted at once and everything else 30 days later (so a reinstall by mistake loses nothing). You can download everything we hold for your site from the dashboard (export), and ask us to delete it sooner at hello@greatwork.company. Your customers can ask you, or us, about their bookings; we answer within 30 days and check the request with you first.
Security
HTTPS everywhere. Requests from Wix are verified (signed app instances, signed webhooks, signed checkout validation calls). Shopper requests must carry a Wix token for the cart's own visitor. The app runs as its own unprivileged user, and its web server doesn't log request addresses for Whenwell pages.
Changes
If this policy changes in a way that matters, we'll update the date above and tell site owners through the app.
