Quotestub privacy policy

Who is who

You are the owner of the Wix site where Quotestub is installed. Your customers are the people who ask you for a quote. Your approvers are the people you list to sign off on quotes. Quotestub processes data on your behalf, only to run your quotes.

What we store

• Your site's app instance: the Wix app instance id, site id, published site address and name, and your plan status (from Wix).
• Your settings: button text and products, form questions, approval limits, approvers' names and email addresses, business details for quotes, currency, time zone, terms, shipping and reminder choices, the email address for your notifications.
• Quotes: what a quote needs, nothing more. The requester's name and email (to send the quote), and only the other answers your form asks for (company, phone, address, message, your own questions). The items (Wix product ids, names, options, SKUs, quantities, list and quoted prices), discounts, shipping, validity date, your message and internal note, the copy of the quote that was sent, its status and history, the Wix checkout template, checkout and order ids and the order number.
• Approvals: for each approver and quote revision, their decision, comment and when they decided.
• Quote lists in progress: while a shopper collects products before sending a request, the product ids and quantities under a one-way hash of their Wix visitor id. Deleted after 14 days or when the request is sent.
• Sessions: a random token for each dashboard session, deleted after 12 hours.

What we never store

Payment details (your customers pay in your own Wix checkout), browser cookies, or anything your form doesn't ask for. We don't use your customers' data for anything but their quotes, don't build lists from it, don't contact them for our own purposes, and don't share it.

Emails we send for you

When email is on for your site, we send: the quote (with its PDF and link) and an expiry reminder to the customer, approval requests to your approvers, and new-request and result notices to you. They go out from a Great Work sending address with your business email as the reply-to address, through Resend (our email provider), which processes the message to deliver it.

What we write to Wix

When a customer accepts, a Wix checkout template with the quoted items and prices; when they order, a comment on the order with the quote number. Nothing else.

Cookies and the live site

The Request a quote button and dialog set no cookies and use no browser storage. They identify the shopper with a Wix access token that Wix gives the page. Quote and approval pages are plain pages reached by private links, with no scripts, cookies or tracking. Shoppers never see plan or account messages from us.

Where data goes

Our server in the United States (DigitalOcean, New York). Wix, through its API. Resend, for email. No analytics, no advertising networks, no other processors.

Retention and deletion

Closed quotes (ordered, cancelled, declined, expired) are deleted 2 years after their last change. You can delete any quote at any time from the dashboard, which removes it and its history at once. When you uninstall Quotestub, sessions are deleted at once and everything else 30 days later (so a reinstall by mistake loses nothing). You can download everything we hold for your site from the dashboard (Download your data), and ask us to delete it sooner at hello@greatwork.company. Your customers can ask you, or us, about their quotes; we answer within 30 days and check the request with you first.

Security

HTTPS everywhere. Requests from Wix are verified (signed app instances, signed webhooks). Shopper requests must carry a Wix visitor token and come from your site. Quote and approval links are signed and unguessable; approval links expire after 14 days and each decides once. The app runs as its own unprivileged user, and its web server doesn't log request addresses or links for Quotestub pages.

Changes

If this policy changes in a way that matters, we'll update the date above and tell site owners through the app.
