Docentwell for Webflow: Privacy Policy

Docentwell is a Webflow app made by Great Work LLC, 651 N Broad St Suite 206, Middletown, DE 19709, USA (hello@greatwork.company). This policy covers what Docentwell collects, why, where it goes, how long we keep it and how to delete it, both for you (the agency or site owner using Docentwell) and for the people who open a client guide you share.

Who decides what

  • Your account data (your Webflow user email, your brand and notes, billing): Great Work is the controller.
  • What you put in a client guide (your client's name, your contact details, notes) and the people who open the guide: you decide what goes in it and who gets the link. Great Work processes it only to show the guide you published. The processing terms in the Terms (section 6) apply.

What we don't store. Docentwell never stores the content of your CMS items or form submissions. To learn how many items a collection has, or whether a form was ever submitted, it requests one item or submission and discards it unread. PDFs are built when someone downloads them and cached in memory for a short time, not on disk. Docentwell adds no code, banner or cookies to your published site, and the client guide page sets no cookies and runs no scripts.

People who open a client guide. The guide page and its PDF are served from addons.greatwork.company. We don't log who opens it; their IP address is used only in memory, for a few minutes, to limit abuse. If the guide shows Webflow's preview image of the site, their browser loads it from screenshots.webflow.com. Links you add (a walkthrough video, your website, care plan links) take them to those sites, under those sites' policies.

Personal data, in short. Your Webflow user email; the contact details and client name you type into your brand; the email of whoever ticks a checklist item or runs a check. We don't sell personal data, don't use it for advertising, don't use it to train AI models and don't send it to any AI service.

Our server runs on DigitalOcean (United States). Data is encrypted in transit (TLS) everywhere and Webflow access tokens are encrypted at rest.

Retention and deletion

  • Remove Docentwell (Settings) revokes the Webflow token, turns off the client guide link and deletes everything Docentwell stored for your site at once. Help text already written to Webflow stays in Webflow.
  • Uninstall or revoke access in Webflow: we delete the token and your site's data the next time Webflow tells us the access is gone (on our next request, and at the latest by the next daily check).
  • Retention runs daily: launch checks and help-text history after 3 years, and workspace brands and images with no site left.
  • If your trial or plan ends, the client guide link shows a short "not available" page and nothing is deleted for 30 days. After 30 days without a plan, everything for the site is deleted.

Your rights

Depending on where you live (for example the EU, UK or California), you can ask to access, correct, delete or export your personal data, and object to or restrict its use. Email hello@greatwork.company; we answer within 30 days. For data in a guide an agency published, we pass your request to that agency. Our legal basis for your account data is the contract with you and our legitimate interest in keeping the service secure.

Children

Docentwell is a business tool and isn't meant for children under 16.

Changes

We'll post changes here and update the date above. If a change matters, we'll say so in the app.
