Docentwell for Webflow: documentation

Docentwell writes the guide you hand a client at launch, from the site itself, and checks the live site before you hand it over. Questions: hello@greatwork.company.

Install

  1. Install Docentwell from the Webflow Apps marketplace and choose the site on Webflow's screen. Approve.
  2. Open the site in the Designer, open the Apps panel and launch Docentwell. It reads the site the first time it opens (pages, collections, fields, forms, images), which takes a few seconds on a large site.

Docentwell needs read access to your site, pages, CMS, forms and images, and permission to write CMS field help text. It adds nothing to your published site.

The Guide tab

  • What's in the guide lists the sections Docentwell built, with the time it last read the site. Press Refresh after you change the site in the Designer.
  • Preview opens the guide in a new tab, for you only, for 15 minutes. It doesn't start the trial.
  • Publish the guide gives you a private link for your client. The page always shows the current guide: when you add a collection or a field, or change your notes, the link shows it. Copy it into your handoff email. Replace link retires the old link at once (for example if it was forwarded too widely). Turn the link off makes it stop working until you publish again.
  • Download PDF saves the same guide as a PDF, for clients who want a file.
  • Video script gives you a scene-by-scene script for a walkthrough video, with an estimate of its length. Record it in your usual tool and paste the link in the Video field.
  • How the client works: choose whether the client publishes changes or you do (the guide's steps follow), which sections show (signing in, forms, the launch check score, care plans, the change log), a walkthrough video link and a "please leave these alone" list.
  • Step pictures: each step has an illustration drawn with your client's own domain, collection names and field names. Upload a real screenshot (PNG or JPEG, up to 600 KB) to use instead; "Use the illustration" goes back.
  • Collections: hide a collection from the guide, say what it's for, add a video link, and replace its "new item" picture with a screenshot.
  • Pages: hide pages and add a "good to know" note per page.

The Fields tab

Each field in your collections gets a suggested help text: what the field takes, in plain words (an Option field's choices, a Reference field's collection, a character limit, the site's time zone for dates). Suggestions are dashed until they're in Webflow.

  • Tick the fields you want and press Apply. Docentwell writes the help text to Webflow, where your client sees it under the field while editing an item. Only help text changes: never a field's name, type or required setting.
  • Edit any suggestion before applying. Webflow's limit is 255 characters.
  • Add a note for the guide per field; it shows in the guide's field table and becomes the suggested help text.
  • Recent help text changes lists each Apply. Undo puts back the text each field had before.

The Launch tab

Check the live site reads your published site (the home page and up to 7 more pages, a made-up address to test the 404 page, the sitemap, each connected domain, http to https, the webflow.io address's search setting and the old addresses you list) and your pages, images and forms in Webflow. Each item passes, needs a check or needs work:

The score weighs each item; a "check" counts half. Turn on "Launch check score" in the Guide tab to show it to your client. Confirm by hand items (a test submission reached the client's inbox, phones and tablets, cookie consent) record who ticked them.

The Handoff tab

  • Editor role and access: choose Content editor, Marketer or Reviewer (Docentwell suggests one), then tick the checklist: client seat invited, where the site lives, billing handed over, publishing rights, form notifications, domain and analytics access, backups, guide sent, video recorded. Webflow doesn't let apps see seats or billing, so you tick these; each tick records who and when.
  • Ongoing care: up to three plans with a price, what's included and a link (https or mailto). The guide adds what care would cover on this site, from the site and the last launch check.
  • Change log: entries your client sees in the guide. Docentwell suggests entries when the site changes (a new collection or field, a new page, a publish); add them or dismiss them. Add your own any time.

The Brand tab

Your logo (PNG or JPEG, up to 300 KB), agency name and website, contact person, email, phone, support hours, accent color, the client's name and an optional welcome note. Tick "Use this brand for every site in this Webflow workspace" to share it across your clients' sites. The client page carries your brand only.

Plans

  • $39 a month or $390 a year per site, or $149 a month or $1,490 a year for every site in a workspace. Every plan has every feature.
  • 14-day free trial per site, starting when you publish the guide link, export the PDF, write help text or run a launch check. No card needed to try it.
  • When the trial or plan ends, the client link shows "This guide isn't available right now, please contact" with your name and email, and exports, help-text writes and launch checks pause. Notes stay 30 days.
  • Plan tab: choose a plan (checkout opens on Stripe in a new tab), Refresh after paying, Manage billing for invoices, card changes and cancelling.

Troubleshooting

  • The guide is missing a new collection or field: press Refresh on the Guide tab.
  • A launch check item says "no answer": the page didn't answer within 15 seconds, or its address points at a private network. Check the domain's DNS.
  • "Docentwell is missing a permission": remove Docentwell in Settings and connect the site again.
  • The client says the link doesn't work: it may have been replaced or turned off, or the plan may have ended. Open the Guide tab for the current link.
