Cadencewell for Webflow: Documentation
Cadencewell puts every CMS collection of your Webflow site on one content calendar inside the Designer, keeps your team's plan for each card (status, assignee, notes, planned date), and publishes, unpublishes or archives items, or publishes the whole site, at the times you schedule.
Get started
- Install Cadencewell from the Webflow Apps marketplace and approve your site. (If you choose Deny, nothing is connected or stored; open Cadencewell in the Designer and choose Connect this site to try again.)
- Open your site in the Designer, then open Cadencewell from the Apps panel. The calendar reads your collections from Webflow and opens on this month. The first time, your browser's time zone becomes the site's.
- Settings > Collections: untick collections you don't plan (authors, categories), and for each collection pick how its cards are dated: by one of its Date/Time fields (a "Publish date" field, say) or by a planned date that Cadencewell keeps.
The calendar
- Month, Week and List views. Prev, Today and Next move through months or weeks; List shows every card, dated ones first, then Unscheduled.
- Search looks in titles, collections, assignees and statuses. The collection menu narrows to one collection, to ideas, or to site publishes.
- Read from Webflow at shows when the calendar was read; Refresh reads it again. Cadencewell keeps what it read for up to 5 minutes so switching views is quick.
- Cards show the time (if they have one), the title, and a Publishes badge when a publish is scheduled for that day, or Needs OK when it's waiting for you. The left edge color is the card's board column. Ideas have a dashed edge: they live in Cadencewell, not in Webflow.
- Chips show other scheduled actions: unpublish, archive, site publishes, and publishes on a different day than their card.
- Needs attention lists failed actions, actions waiting for your OK, planned cards that are overdue, cards due in the next 48 hours that aren't marked Ready, and actions scheduled after your trial ends.
- Export CSV (List view) downloads what's shown, with dates, statuses, assignees and scheduled actions.
Moving cards
Drag a card to another day. Its time stays the same (an all-day card stays all-day).
- A card dated by a field: Cadencewell writes the new date into that field in Webflow. If the item was changed in Webflow after the calendar read it, the move is refused and the calendar re-reads, so you never overwrite someone's newer edit. Try again on the fresh card.
- A card dated by its planned date: the planned date changes (it's Cadencewell's, nothing in Webflow changes).
- If the card has a scheduled publish, the publish moves to the new day at the same time.
- Drag a chip (an unpublish, archive or site publish) to move that action.
You can do the same without dragging: open the card, set a date and time under Date, press Move.
Planning
Open any card for its panel:
- Plan: status (Idea, Draft, Ready), assignee (a name or an email; emails get reminders once email is on) and notes. These are Cadencewell's, shown with a dashed edge; notes are stored encrypted and never go into the calendar feed.
- New idea (calendar toolbar): a working title and, if you like, a date. In its panel, pick a collection and Create draft item: Cadencewell creates a draft CMS item with that name and a matching slug, and the card keeps its status, assignee, notes and date. If the collection has required fields beyond name and slug, Webflow refuses and Cadencewell says so; create the item in Webflow instead.
The board
Idea, Draft and Ready are Cadencewell's statuses: drag a card between them. Scheduled means a publish is waiting; Published is what Webflow reports (a published item with newer unpublished changes goes back to its planning status). Dropping a card on Scheduled opens it so you can pick a time. Filter by assignee or search.
Scheduling
In a card's panel, under Schedule: Publish, Unpublish or Archive, a date and a time (in the site's time zone).
- Publish works for drafts and for items that are already live (it publishes their latest changes).
- Unpublish takes the item off the live site; it stays in the CMS as a draft.
- Archive takes the item off the live site and archives it (Webflow's archive alone waits for your next site publish; Cadencewell doesn't wait). Nothing is deleted.
- Repeats: daily, weekly or monthly, every 1 to 12 periods, optionally until a date. The time stays the same on the wall clock when daylight saving changes. Monthly on the 31st falls on the last day of shorter months. Archive can't repeat.
- Also set "Publish date" to this time (publish only, when the collection is dated by a field): writes the scheduled time into the item's field, so the date on your site matches the day it went live. Moving the date field like this doesn't count as an edit for the re-confirm rule.
- A new schedule replaces the item's earlier pending action of the same kind.
Bulk: in the List view, tick items, pick an action, a date and time, and a spacing (all at once, 15 minutes, 1 hour, 1 day or 1 week apart), then Schedule. Up to 500 items per bulk schedule. Items that can't take the action are skipped with a reason (deleted in Webflow, archived, not on the live site).
Whole site: Scheduled tab, Schedule a site publish: pick the custom domains and/or the webflow.io address, a date and time, and a repeat if you like. It publishes everything staged in the Designer and the CMS at that time, like the Publish button. Webflow allows one site publish per minute; if another publish just happened, Cadencewell waits and tries again.
What happens at the scheduled time
Cadencewell's scheduler looks for due actions every 30 seconds. For each one it:
- Checks the site has an active trial or plan. If not, the action pauses ("paused until the site has a plan").
- Checks the action isn't more than 6 hours late (if Cadencewell's server was down, for example). If it is, it waits for your OK instead of going out hours after its moment.
- Reads the item from Webflow again. A deleted or archived item fails the action. For a publish, if the item was edited after you scheduled it (any field except the calendar's date field), the publish waits for your OK. Turn this off in Settings if you always want the latest version to go out.
- Runs the action. If Webflow is rate-limited, busy or down, it tries again after 1, 2, 5, 10 and 30 minutes, then marks the action failed. A request Webflow refuses outright (for example a required field is empty) fails at once.
- Logs it, and for a repeat, schedules the next run. Missed runs of a repeat are skipped, never run in a burst.
The Scheduled tab
- Needs your OK: Confirm publishes the item as it is now (or runs the late action now). Cancel drops it. You can also move it to a new time.
- Failed: what went wrong. Fix it in Webflow and schedule again.
- Coming up: every pending action, with retry state. Run now runs one immediately.
- Ran recently: the last 50 actions that ran.
Activity
Every schedule, move, run, retry, hold, OK, cancel, settings change and reminder email, newest first, with who did it. Export CSV downloads the whole log. Entries are kept for a year.
Calendar feed
Settings > Create feed link gives a private iCal URL with your scheduled actions (and recent ones) and your dated cards: titles, statuses, collections and assignees, never notes. Subscribe in Google Calendar (Other calendars, From URL), Outlook (Add calendar, Subscribe from web) or Apple Calendar (File, New Calendar Subscription). Calendar apps refresh subscribed calendars on their own schedule, from hourly to daily. New link makes every older link stop working; Turn off stops the feed.
Reminders by email
Once email is switched on for Cadencewell, it emails whoever scheduled an action when it fails or needs an OK, and once a day emails each assignee (cards whose assignee is an email address) about their cards due soon or overdue. Turn the daily email off in Settings. Until email is on, everything is in Needs attention.
Time zones
Every date and time you pick, and every label, uses the site's time zone (Settings). Scheduled actions are stored as exact moments: changing the site's time zone changes the labels, not when anything runs. Repeats keep their wall-clock time in the zone they were scheduled in.
Plans and billing
- $39 a month or $390 a year per site; $149 a month or $1,490 a year for every site in a Webflow workspace.
- 14-day free trial per site, starting the first time you schedule an action. No card needed.
- When the trial or a plan ends, scheduled actions pause (they don't run) and nothing on your site changes; the calendar, board and audit log stay readable for 30 days, then the site's Cadencewell data is deleted. Pick a plan in time and paused actions run again (any more than 6 hours late ask you first).
- Plan tab: choose a plan, then Continue to secure checkout opens Stripe in a new tab. Come back and press Refresh. Manage billing opens Stripe's billing page for invoices, card changes, switching or cancelling.
Limits
- Items scheduled with Webflow's own Schedule button aren't visible to apps (Webflow's API doesn't expose them), so they don't appear on Cadencewell's calendar. Schedule them in Cadencewell instead.
- Up to 40 collections on the calendar and 20,000 items per collection; 500 items per bulk schedule; 5,000 pending actions and 2,000 ideas per site.
- Actions run within about a minute of their time, later when Webflow's rate limits or outages delay a request.
- Cadencewell acts on the site's primary language.
Remove Cadencewell
Settings > Remove Cadencewell cancels every scheduled action and deletes this site's cards, ideas, settings, audit log, feed link and Webflow access token. Your site isn't changed. Your plan isn't cancelled by this: cancel it in Plan > Manage billing.
