Swathwell for Webflow: documentation
Published at https://greatwork.company/apps/swathwell-for-webflow/docs. Questions: hello@greatwork.company (a person replies within one business day).
Get started
- Install Swathwell from the Webflow Apps marketplace and approve your site on Webflow's screen. If you choose Deny, nothing is connected and nothing is stored; open Swathwell again and choose Connect this site to try again.
- Open your site in the Designer, then open Swathwell from the Apps panel. The panel opens at Webflow's largest app size (1200 by 800) so the grid has room.
- Pick a collection (and a language, if your site has more than one). Swathwell reads the items from Webflow, 100 at a time, and shows "Read from Webflow at" with a Refresh button.
The grid
- One row per item, one column per field. Name and slug come first, then your fields in Webflow's order. The Status column shows Published, Changes not published, Draft, Archived or Not published yet.
- Click a cell to edit it. Text fields edit in place: press Enter or click away to keep the value. Options and references open a list. Switches toggle on click. Rich text, multi-references and multi-images open an editor under the grid.
- Dates are shown and typed in your computer's time zone (2026-10-02 or 2026-10-02 14:30). A date with no time stays a date.
- References are typed or picked by the referenced item's name (or slug, if two items share a name). Multi- references take one name per line.
- Images and files take a public https link; Webflow copies the file to its CDN when the change is applied. An image whose link you didn't change keeps its alt text.
- Rich text is edited as HTML and cleaned to Webflow's basic formatting: headings, paragraphs, lists, links, images, bold and italic. Scripts, styles and embeds in a rich text field you edit are removed. Typing plain text makes paragraphs.
- User fields (Created by, Updated by) and other types Swathwell can't write are shown read-only.
- Every edit is staged, not saved: staged cells get a dashed violet outline, and hovering one shows the value Webflow has now. "Revert to Webflow's value" un-stages a cell.
- Staged changes belong to one collection and language: switching is locked until you apply or discard them, so nothing you typed is dropped by accident.
Filters, sort, search and saved views
- Filter and sort: add filters on any field (contains, doesn't contain, is, isn't, is empty, isn't empty, more than, less than), filter by status (including "On the live site" and "With staged changes"), and sort by any field. Click a column header to sort by it; click again to reverse, a third time to clear.
- Search looks in every visible column of the current view.
- Columns: pick which fields show.
- Save view: saves the filters, sort, search and columns under a name for everyone who uses Swathwell on the site. Pick a view from the list next to the collection; update or delete it from Save view.
Changing many items at once
Select rows with their checkboxes (the header checkbox selects every row in the current view), then use the bar that appears:
| Operation | What it does |
|---|---|
| Set to | Gives every selected row the value you type (checked against the field type) |
| Clear | Empties the field (not offered for required fields) |
| Fill down from the first selected row | Copies the first selected row's value to the others, in the order shown (not for slugs, which must be unique) |
| Find and replace | Replaces text in the column; options: Match case, Whole word, Pattern (regex, with $1 for groups) |
| Add a prefix / Add a suffix | Adds text to the start or end, skipping rows that already have it |
| Change case | Title Case, Sentence case, UPPERCASE or lowercase |
| Trim spaces | Removes extra spaces |
| Combine columns | Fills the column from a template, like {name} in {city} (use field names or slugs in braces) |
| Make a slug from | Turns another column into a slug, adding -2, -3 when two selected rows would collide |
Text operations work on text, link, email, phone, video link and color fields. Rows the operation wouldn't change are left alone, and rows where the result isn't valid are skipped with the reason.
Status buttons stage a status change for the selected items:
- Publish: publishes the items to your live site right away (with any field changes you staged).
- Set to draft: a live item is taken off the live site and becomes a draft; an item that isn't live becomes a draft.
- Archive and Unarchive: archived items leave the live site at your next site publish, as in Webflow.
Status changes apply to your site's primary language.
Review and apply
- Open the Changes tab. It counts your staged changes.
- Press Review changes. Swathwell reads each staged item from Webflow again and shows every change as before and after. This review is a preview, marked with a dashed violet edge; nothing is written.
- Items with a problem are flagged: someone changed the item in Webflow after you loaded it, a value isn't valid for its field, the item was deleted, or the status change no longer fits. Apply skips them.
- Optionally tick "Also publish edited items that are live now" so the live site shows your edits at once, and name the batch (for example "Spring price update").
- Press Apply. Swathwell writes through Webflow's bulk API, 100 items per request, at the pace your site's API limit allows, with a progress bar. If Webflow refuses one item, the others still go through and the refused one is listed with Webflow's reason.
Applied items take Webflow's fresh copy in the grid. Skipped and failed items stay staged, so nothing you typed is lost: fix them, or press Review changes again to see the latest values first.
History and Undo
The History tab lists every batch you applied (and every undo), when, by whom, in which collection and how many items were changed, skipped or published.
Undo this batch is on the most recent batch for 30 days. It puts back the old values and draft/archive state, and the live site state: items the batch published are unpublished again (or re-published with their old content if they were live before), and items it took off the live site go back on. Undo only touches items that still hold exactly what the batch wrote; anything changed since is left as it is and listed. Only the most recent batch can be undone, so a later batch is never overwritten.
CSV export and import
- Export this view saves the rows and columns you're looking at; Export the whole collection saves every item and field. The first columns are Item ID and Status. Rich text exports as HTML; references as item names. Cells that start with = + - or @ get a leading ' so spreadsheet apps don't run them as formulas (Swathwell removes it on import).
- Import a CSV matches rows by Item ID (or by Slug if there's no Item ID column) and stages every cell that differs from the grid. Columns are matched to fields by name or slug; others are listed as left alone. Problems are listed by row and column. Nothing is written until you review and apply.
- Import updates existing items. It doesn't create or delete items.
Plans and billing
- Site plan: $29 a month or $290 a year, every collection and language of one site, no limit on items or batches.
- Workspace plan: $149 a month or $1,490 a year, every site in one Webflow workspace.
- 14-day free trial per site, starting the first time you apply changes. No card needed.
- When the trial or plan ends, the grid stays open read-only and Undo of your last batch keeps working; editing, applying, and CSV export and import need a plan. Nothing in your CMS changes.
- Plan tab: choose a plan, then click Continue to secure checkout (Stripe, in a new tab, billed by Great Work LLC). Come back and press Refresh. Manage billing opens Stripe's portal for invoices, card changes, switching between monthly and yearly, and cancelling. Plans renew automatically until you cancel.
- EU and UK buyers can cancel within 14 days of the first purchase for a full refund.
Limits
- Up to 20,000 items per collection in the grid, and up to 10,000 items per Apply (select fewer with a filter for bigger changes).
- Webflow's API limit for your site applies (60 or 120 requests a minute depending on your plan); Swathwell paces itself to it and retries when Webflow asks it to wait. A 1,000-item Apply takes roughly a minute.
- Ecommerce products, static pages, components and site settings aren't edited.
Works well with
- Replacewell (also by Great Work) when the change is wording across your whole site, including static pages, components and SEO fields.
- Cellferry (also by Great Work) when the content lives in a spreadsheet your team maintains and should stay in sync with the CMS on a schedule.
Remove Swathwell
Settings > Remove Swathwell deletes everything Great Work stored for the site (the access token, batch history, undo journals and saved views) and revokes the access at Webflow. Your CMS is not changed. Cancel a paid plan separately in Plan > Manage billing. Uninstalling the app in Webflow deletes the same data within a day.
