Repstub setup guide
Repstub pays your team commission on won deals and on money collected, and turns it into approved statements. Setup takes about five minutes.
1. Install and open
Install Repstub on the business account, then open it from the left menu. Your CRM users are listed on the Team tab (refresh any time). Only admins see the whole team; everyone else sees only their own earnings.
2. Create a plan
On Plans, click New plan:
- Pays on: won deals (the deal's value, credited to its owner when it is marked won) or money collected (paid invoices and orders, subscription renewals, credited to the rep on the client's latest won deal or else the contact owner). Use one or the other for a given person so a sale isn't paid twice.
- Who: tick people, or teams you made on the Team tab. A person listed by name wins over a team.
- Base rate: a percent of the sale or a flat amount per sale.
- Tiers: higher rates above a volume this period. "Each tier's rate on the part inside it" pays every band its own rate as sales come in. "Tier reached pays on the whole period" uses the tier reached so far and adds a true-up line when the period closes.
- Special rates: a different rate for a pipeline or a product (these win over tiers).
- Pipelines / products: limit the plan to some of them (none ticked = all).
- Subscription renewals: the same rate as the first payment, their own rate, for a number of months, or nothing.
- Clawback window: a refund, a lost deal or a reopened deal always reverses while its period is open; after the period closed, only within this many days of the sale.
- Draw: a guaranteed minimum per period. Recoverable draws are paid back from later earnings.
- Default split: when this plan's rep is credited, these people share the sale (for example a setter at 30%). Each person earns on their share under their own plan. Any single sale can be split or moved from the first tab.
3. Settings
Pay period (monthly or every two weeks, from a start date), time zone, currency, who payments go to, approvers, automatic close (days after the period ends), statement emails, and whether a reopened or lost deal reverses its commission. Test-mode payments count only if you turn that on.
4. Each period
- As it happens: the first tab shows each rep's sales and commission so far, sales that need a rep, and recent sales. The Ledger tab lists every line; add a manual sale (it can be dated in an earlier open period) or a bonus or correction there.
- Close: after the period ends it closes on its own (Settings) or with "Close period" on Statements. Tier true-ups and draws are worked out and each rep gets a statement.
- Approve: approvers get an email link (it shows totals per rep and records the decision only when they click a button). Admins can approve or send back on the Statements tab. Sending back reopens the period.
- Pay: once approved, each rep gets an email link to their statement page with a PDF. Download the payout CSV for payroll. Anything that changes later shows up in the next period.
5. Leaderboards (plan with leaderboards)
The Leaderboard tab ranks reps by sales today, this week or this period, with progress to each rep's monthly goal (set it on the Team tab). "New link" makes a TV screen link for the office; it refreshes every minute and can be turned off or replaced any time.
6. Workflows
Action Credit a sale: pick the team member, the amount, a description, whether it counts as a won deal or a payment, and a Sale id (for example the opportunity id) so the same sale is credited once. Outputs: status, commission, period.
Removing it
Settings > Disconnect deletes everything we store for the account right away (uninstalling does too).
