Remindwell documentation

Get started

  1. Install Remindwell from the Atlassian Marketplace (Jira admin). Every site gets a 30-day free trial. After that it is $2 a month for up to 10 users, then billed per user.
  2. Open any issue. In the ••• (more actions) menu choose Remind me.
  3. Pick who to remind and when, add a note if you like, and click Set reminder. The confirmation shows the time of the first reminder.

You find your reminders in three places:

  • Remind me in the issue's ••• menu: set a new reminder.
  • Reminders in the issue's side panel: your reminders on that issue, with Add reminder.
  • Apps > Reminders: every reminder you set or receive, across all issues.

Jira admins configure the app in Jira settings > Apps > Remindwell.

Setting a reminder

Who should be reminded?

  • Me
  • Assignee and Reporter: worked out when the reminder fires, so it reaches whoever holds that role then. If nobody is assigned when it fires, the reminder goes to the person who set it, with a line saying so.
  • All watchers
  • Other people: add up to 20 teammates.

Everyone you pick must be an active Jira user who can see the issue. If someone can't, saving tells you, because Jira won't email them about an issue they can't open. Your admin can limit reminders to yourself only, or turn off watcher reminders; then those choices don't appear.

When?

  • Quick pick: In 1 hour, In 3 hours, Tomorrow morning, In 2 days, Next Monday, In 1 week. Each option shows the exact time it means in your time zone before you save. "Tomorrow morning", "Next Monday" and similar use the default time your admin sets (09:00 unless changed).
  • Date and time: any date and time, to the minute, up to 5 years ahead. A time that has already passed is refused.
  • Due date: available when the issue has a due date. Choose On the due date, 1 day before, 2 days before, 3 days before, 1 week before, 2 weeks before, or overdue nudges 1 day after, 3 days after or 1 week after, plus a time. If someone moves the due date, the reminder moves too (checked about once an hour). If the due date is cleared, the reminder shows Paused and resumes when a due date is set again.

Repeat

  • Don't repeat, Every day, Every weekday (Mon to Fri), Every week, Every month.
  • Every day, week and month can be every N days, weeks or months (up to 30). Every week lets you tick the days of the week.
  • Last date (optional) or stop after a number of reminders.
  • Stop when the issue is done: on by default. When the issue reaches a done status, the reminder stops with "Stopped: KEY-1 is Done".

The box at the bottom shows the next reminder times and your time zone as you change the form.

Note and comment

  • Note (optional): up to 1,000 characters. Say why, for example "Chase the vendor for the signed quote".
  • Also add a comment that @mentions them: posts a comment on the issue when the reminder fires, so the people reminded also get Jira's bell and mobile push. Everyone who can see the issue sees the comment. Your admin can turn this option off.

The reminder email

Reminders are sent by your Jira site's own notification service, from your site's usual Jira address, within 5 minutes of the chosen time.

  • Subject: [KEY-123] Reminder: your note (issue summary). Without a note, the subject is the key and summary.
  • Body: who asked for the reminder, your note, the issue key and summary with a link, the status and due date, and for repeating reminders the next time.
  • Jira only sends it to people who can see the issue.

Times, time zones and 24-hour clocks

Times use each person's Jira time zone and show in 24-hour or 12-hour format to match their Jira language. A repeating reminder at 09:00 stays at 09:00 local time when the clocks change.

Managing reminders

On a reminder card you can:

  • Edit: change anything about it.
  • Snooze until... a quick pick time. On a reminder that already finished the same menu reads Remind again... and sets it going again.
  • Delete.
  • Stop reminding me: on a reminder a teammate set for you. You won't get it any more; if you were the only person on it, it is deleted.

Only the person who set a reminder (or a Jira admin) can edit, snooze or delete it. Teammates see only how many other reminders exist on an issue, not what they say.

Apps > Reminders

  • Set by me: your upcoming reminders. Show finished reminders shows the rest.
  • Set for me by others: reminders teammates set for you, each with Stop reminding me.
  • Sent to me: reminders sent to you in the last 180 days.

Status labels

If Jira can't send a reminder, Remindwell retries with growing waits (from 15 minutes up to 6 hours) and stops after 5 failed tries. If the issue is deleted or the app can no longer see it, the reminder is removed.

Admin settings

Jira settings > Apps > Remindwell (Jira admins only) shows counts of scheduled, paused, finished and stopped reminders, and these settings:

  • People can remind teammates, the assignee and the reporter (not just themselves): on by default. Turn it off for self-only reminders.
  • People can remind all watchers of an issue: on by default.
  • Reminders can also post a comment that @mentions the recipients: on by default.
  • Projects: All projects, Only these projects, or All projects except these, with a list of project keys. In a project where Remindwell is off, the dialog says so and Set reminder is disabled.
  • Time used by "Tomorrow morning", "Next Monday" and similar: 09:00 by default.
  • Most active reminders one person can have: 500 by default (10 to 5,000).

Click Save settings. The project list and the self-only switch apply to new reminders and edits; reminders already set keep their recipients. Turning off watcher reminders or comments also applies to reminders already set: watchers are left out and no comment is posted.

Reminders that need attention lists paused and stopped reminders on the site with their notes. Admins can edit, snooze or delete any of them.

Licensing and trials

Remindwell is paid through Atlassian, with a 30-day free trial. If the trial ends or the subscription is not active:

  • No reminder emails or comments are sent. The scheduler checks the license before every run and sends nothing while it is inactive.
  • A Subscription not active banner appears, and you can't set, edit or snooze reminders until a Jira admin renews Remindwell in Apps > Manage apps.
  • Reminders you already set are kept, not deleted. You can still view them, delete them, or opt out of them.

When the subscription is active again, sending resumes on the next run (within 5 minutes). A reminder that came due while it was inactive is sent once, late; a repeating reminder then carries on with its next scheduled send instead of catching up on every one it missed.

Permissions and data

  • Remindwell runs on Atlassian's Forge platform. It has no external network permissions and uses no outside mail service: emails go through Jira's own issue notifications.
  • It stores reminders (issue id, recipients, schedule, your note, who set it) in Forge SQL and admin settings in Forge storage, both hosted by Atlassian for your site. A log of sent reminders is kept for 180 days.
  • When a reminder fires, the app re-reads the issue's summary, status, due date, assignee and reporter. It only comments on an issue when the reminder asks for it.

Limits and known gaps

  • Up to 20 named people per reminder, 20 of your reminders per issue, and your admin's per-person cap.
  • Reminders are sent within 5 minutes of the chosen time.
  • Each reminder is its own email. There is no digest that combines several issues.
  • No Slack, Teams or SMS delivery: those would send your data outside Atlassian.
  • Reminders are for Jira issues only, not Confluence pages.

FAQ

Can I remind someone other than myself? Yes: the assignee, reporter, all watchers, or up to 20 teammates. Your admin can turn this off.

Can I pick an exact time, not a 30-minute slot? Yes. Pick any time to the minute; reminders go out within 5 minutes of it.

Do the quick picks really mean what they say? Each quick pick shows the exact date and time it stands for, in your time zone, before you save.

Can I use a 24-hour clock? Times follow your Jira language. Set your Jira profile language to one that uses 24-hour time, such as English (UK).

Can I see all my reminders and their notes in one place? Yes, Apps > Reminders.

Is the issue key in the email subject? Yes: [KEY-123] Reminder: ....

Can it notify me in Jira, not only by email? Tick Also add a comment that @mentions them to get Jira's bell and mobile push as well.

Can we turn it on only for some projects? Yes, in Jira settings > Apps > Remindwell > Projects.

Do I need to log in to read these docs? No. This documentation is public.

Uninstalling and your data

When the app is uninstalled, reminders stop and Atlassian deletes Remindwell's stored data for your site. Comments the app posted stay on their issues.
