Kickwell setup guide

Kickwell sends each new client a private checklist link, collects their details and files, saves them into the client's account and starts your workflows as steps are done.

1. Install

Install Kickwell for your company and choose all client accounts, including future ones. It needs to be on a client account to save answers and files into it. Then open Kickwell from the left menu of your company view.

2. Settings

  • Your own account: the account you run your own business from. Client contacts are added there (tagged "onboarding") and links and reminders are sent from its email and phone number.
  • Your business name, logo link and button color: shown on the client's page and in messages.
  • Team email: the address clients invite as a manager on their business profile, DNS and social pages. Use {{team_email}} in checklist text to show it.
  • Reminders: how often (in days) and how many times. They stop once the checklist is done.
  • Save answers as each step is done: on by default. Turn it off to review first and press Save answers to account yourself.
  • Start automatically for new client accounts: pick the checklist new accounts start with. The client contact comes from the account's email and phone.

3. Checklists

The starter checklist has seven steps: business details, logo and brand colors, business hours, website domain and DNS, business texting registration, Google Business Profile access and accounts to connect. Copy it and change anything: steps, fields, required marks, help text and instruction links.

Field types: short text, long text, email, phone, web address, color, choice list, yes/no, business hours, file upload, confirm checkbox.

Save to the client account. Each field can be saved to:

  • a custom value by name, created if the account doesn't have it yet and updated if it does. Use the same names as the placeholders in your snapshots (for example "Logo URL", "Brand primary color", "Business hours") and they fill themselves.
  • the business profile: business name, phone, street address, city, state, postal code, country (two letters), website, time zone.
  • the social profile: Facebook, Instagram, LinkedIn, YouTube, X, Yelp, Pinterest, Google place id.

Files always go to the client account's media library. A file field saved to a custom value stores the first file's link. Business hours are saved as text like "Mon 08:00-17:00; Sat closed".

Never collect passwords: Kickwell refuses fields that ask for them. Ask the client to invite your team instead, with a confirm field and an instructions link.

Changing a checklist affects onboardings you start afterwards; ones in progress keep the version they started with.

4. Start an onboarding

Pick a client account, choose the checklist, check the contact's name, email and mobile number and press Start onboarding. The client gets the link right away (or press Copy link to send it yourself).

On the client's page each step can be saved for later or completed. A step is done when its required fields are filled. You see progress, every answer and file, and what was saved where. From there you can send a reminder, issue a new link (the old one stops working), extend the link, send a step back to the client to review, save answers again, cancel or delete.

5. Workflow triggers

Two triggers, in your own account and in each client account:

  • Onboarding step completed: fires each time the client completes a step. Filter by step name or checklist name.
  • Onboarding finished: fires once when every step is done.

Both pass the client account's id and name, checklist name, step name and number, steps done and total, percent complete and the client contact's name, email and phone. In your own account they run for the client's contact there, so you can move a deal, create a task or notify your team. In the client's account they can switch on campaigns once setup is complete. A trigger never fires into any other client's account.

6. Plans

7. Disconnect

Settings > Disconnect removes Kickwell from your company and every client account and deletes everything we store (checklists, answers, file links, history). Files, custom values and contacts already in your CRM stay there.
