Foliowell guide

Foliowell fills your own Word templates with your site's store orders, form entries and bookings and gives you PDFs (or Word files). Questions: hello@greatwork.company, answered within one business day.

Get started in five minutes

  • Open Foliowell from your site's dashboard. It already has an Invoice template and an Invoices numbering (INV-0001), and your business details from your site's business info (check them in Settings).
  • In Templates, click Preview with sample data to see the invoice. Download Word file to change it in Word or Google Docs, then Upload new version.
  • In Documents, choose the template, then Preview next to one of your orders. Previews work before your trial.
  • Start your free trial (button at the top). Now Make gives the order a number and a link.
  • In Automations, add "An order is paid: Invoice" and tick where the link goes.

Writing a template

A template is a normal .docx file. Wherever a value should go, type a field in double curly braces, for example {{order.number}} or {{customer.name}}. Everything else (layout, fonts, colors, tables, headers and footers, images) is printed as you designed it. The Fields list on the Templates tab shows every field for orders, form entries and bookings, with a short description.

Type each field in one go. If Word marks a field as misspelled and you correct only part of it, retype the whole field. After you upload, Foliowell checks the file and lists any field it doesn't know (a typo prints as a blank).

Fields everywhere

  • {{business.name}}, {{business.legal_name}}, {{business.address}} (one line), {{business.address_lines}} (one line each), {{business.email}}, {{business.phone}}, {{business.website}}, {{business.tax_label}}, {{business.tax_id}}, {{business.footer}}: from Settings.
  • {{logo}}: your logo. Put it on a line by itself. It uses the logo you upload in Settings, or your site's logo.
  • {{document.number}}, {{document.date}}, {{document.date_text}}, {{document.title}}: the number from the template's numbering, and the date the document was first made.
  • {{customer.name}}, {{customer.first_name}}, {{customer.email}}, {{customer.phone}}, {{customer.company}}, {{customer.address}}, {{customer.vat_id}}.
  • {{today}}, {{today_text}}.

Orders

  • {{order.number}}, {{order.date_text}}, {{order.payment_status}}, {{order.fulfillment_status}}, {{order.shipping_method}}, {{order.delivery_time}}, {{order.note}}, {{order.coupon}}, {{order.item_count}}.
  • Amounts: {{order.subtotal}}, {{order.shipping}}, {{order.discount}}, {{order.tax}}, {{order.total}}, {{order.paid}}, {{order.balance}}, {{order.refunded}}. Each also comes as _text, written in the document's language with the currency, for example {{order.total_text}}.
  • Addresses: {{order.billing.name}}, {{order.billing.address_lines}}, {{order.billing.vat_id}}, {{order.shipping_to.name}}, {{order.shipping_to.address_lines}}, and the parts (street, city, state, postal_code, country).
  • Line items: in a table, put {{#each order.items}} at the start of the first cell of a row and {{/each}} at the end of its last cell. The row repeats for each item. Inside it: {{n}}, {{name}}, {{options}}, {{sku}}, {{qty}}, {{price_text}}, {{discount_text}}, {{total_text}}, {{tax_rate}} (percent), {{tax_text}}.
  • Tax by rate: {{#each order.taxes}}{{name}} {{rate}}%: {{amount_text}}{{/each}}.
  • Fees and checkout fields: {{#each order.fees}}, {{#each order.custom_fields}}{{title}}: {{value}}{{/each}} (gift messages and the like).

Form entries

  • {{form.name}}, {{form.submitted_text}}, and one field per question, named after its label: a question labeled "Course" is {{form.course}}. The Fields list shows the names for the form you choose.
  • {{form.signature_image}} (any question with _image): the drawn signature or uploaded picture, printed as an image. Put it on a line by itself.
  • Every answer as a table: {{#each form.answers}}{{label}}: {{value}}{{/each}}.
  • A template can be for one form (choose it in the template's Edit) or for any form. Fields by question name only work with a template for one form.

Bookings

{{booking.service}}, {{booking.start_text}}, {{booking.end_text}}, {{booking.staff}}, {{booking.location}}, {{booking.participants}}, {{booking.status}}, {{booking.payment_status}}, and the booking form's answers with {{#each booking.answers}}{{label}}: {{value}}{{/each}}.

Formatting and conditions

  • Filters after a bar: {{order.total | money}}, {{order.date | date:"D MMMM YYYY"}}, {{customer.name | upper}}, {{order.note | default:"No note"}}, {{order.note | truncate:80}}.
  • Show text only sometimes: {{#if order.payment_status_code == "PAID"}}Paid with thanks.{{/if}}. Other tests: !=, >, <, >=, <=, contains, and and / or. {{#unless ...}} is the opposite. Put {{#if}} and {{/if}} in their own paragraphs to hide whole paragraphs.
  • Use the _code fields in conditions (payment_status_code, fulfillment_status_code, status_code): they are Wix's own values (PAID, NOT_PAID, FULFILLED, CONFIRMED) and don't change with wording.

Numbering

In Settings > Numbering, a numbering has a prefix, a number of digits and the next number. {YYYY}, {YY} and {MM} in the prefix become the document's year and month: INV-{YYYY}- gives INV-2026-0001. Choose a numbering for each template in its Edit. A record gets its number once: making the same invoice again, or after its link expired, shows the same number. Templates without numbering use the order number (orders) or a short id.

Language versions (Pro)

On a template, Add language version and upload the same document written in another language. Orders carry the buyer's language; an order in German gets the German version, and the _text fields write dates and prices the German way. Records without a language, and languages without a version, get the main file (Settings > Main language). In Documents you can also choose a version by hand.

PDFs use the standard PDF fonts, which draw Latin-alphabet languages: Western European languages fully; a few Central European letters (such as Polish or Czech ones) print without their accent. For Greek, Cyrillic, Hebrew, Arabic or Asian scripts, set the template's output to Word.

Automations

An automation is "when this happens, make this template", once per record:

  • An order is paid, is placed or is fulfilled (store orders and other eCommerce orders).
  • A form is submitted (one form or any form).
  • A booking is confirmed.

Foliowell checks the order, entry or booking itself before making the document, so an order that is placed unpaid gets its invoice when the payment arrives. Choose where the link goes: the order's timeline (in Orders, under the order's activity), the customer's contact card (Contacts > the contact > Notes), and email to the customer when email sending is on. Every document also appears in Documents.

If something can't be made (a template with a problem, Wix not answering), it waits in Automations > Activity with the reason. Foliowell retries on its own for a few hours; Retry tries again at once.

Making documents by hand and in bulk

In Documents, choose a template and click Make next to a record. Then download it, copy its link, or add the link to the order or contact. Bulk makes documents for every record in a date range (for example today's paid orders) into one PDF to print or a ZIP of separate files; the file is ready to download for 24 hours.

How long documents are kept

Foliowell keeps no copy of a finished document. Each time a link is opened it makes the document again from the order, entry or booking as it is in Wix then, with the same number and date. Links work for the number of days in Settings (30 unless you change it), then the document record is deleted. To keep a document longer, download it, or make it again later (the order stays in Wix and keeps its number).

Limits

  • Standard: 500 documents a month, 10 templates, bulk runs of 50. Pro: 5,000 documents a month, 100 templates, language versions, bulk runs of 500.
  • A document counts once, when it's first made. Opening it, sending it again or reprinting it in a bulk run doesn't count. Previews never count.
  • Templates up to 5 MB, logos up to 1 MB.

Foliowell and Wix's own invoices

Wix can make invoices and receipts for orders, a printable packing slip, and a PDF of one form entry. Those use Wix's fixed design. Foliowell is for documents in your own layout: your wording, fonts and colors, extra fields, conditions, language versions, certificates and contracts from forms, confirmations from bookings, and bulk printing. If your country requires invoices from a certified system, keep using that system for the legal invoice.

Everything can be set up: templates, the template check, previews with sample data and with your real orders, form entries and bookings, settings, logo, numbering and automations. Numbered documents, links and automations start with the trial.
