Foliowell for Webflow: how it works
Foliowell runs inside the Webflow Designer (Apps panel) on a site with Webflow Ecommerce. It has six tabs: Orders, Documents, Products, Stock, Plan and Settings. Everything it shows from your store is read from Webflow when you open a tab or press Refresh, with the time it was read.
Getting started
- Install Foliowell from the Webflow Apps marketplace and approve access for your store's site.
- Open the site in the Designer and open Foliowell from the Apps panel.
- Settings: your store name, legal name, address, tax ID label and number (VAT number, ABN, GST), email, phone, website, footer and logo. Pick your time zone and the language documents are written in.
- Documents: Add Invoice. Press Preview to see it with a sample order (previews are free and never numbered).
- Orders: open an order and press Make Invoice.
Templates
A template is a Word (.docx) file with fields in double curly braces. Start from a starter (Invoice, Receipt, Packing slip, Pick list): Download .docx, change fonts, colors, wording and layout in Word or Google Docs, and upload it back as a New version. Or upload your own.
- Fields:
{{order.number}},{{order.date_text}},{{order.billing.name}},{{order.shipping_to.address_lines}},{{order.total_text}},{{business.tax_id}},{{customer.vat_id}}and more. The full list is under "Fields you can use" in the Documents tab. - Repeating rows: put
{{#each order.items}}in the first cell of a table row and{{/each}}in the last; the row repeats for each item, with{{name}},{{variant}},{{sku}},{{qty}},{{price_text}},{{total_text}}. Tax lines repeat with{{#each order.taxes}}{{name}} ({{rate}}%) {{amount_text}}{{/each}}. - Conditions:
{{#if customer.vat_id}}VAT ID: {{customer.vat_id}}{{/if}},{{#if order.discount > 0}}...{{/if}}. - Filters:
{{order.date | date:"D MMM YYYY"}},{{order.total | money}},{{order.note | default:"None"}}. - Your logo: put
{{logo}}on a line by itself. - Amounts come as numbers (
order.total) and written out in the order's own currency (order.total_text, for example $55.13 or 55,13 € in German). - Checking: every upload is checked. Syntax problems are refused with the reason; fields Foliowell doesn't know are listed and print blank (usually a typo).
Where the numbers come from
- Totals: subtotal, discount, shipping and each tax line come from the order's totals in Webflow. A tax line's rate is read from Webflow's description ("TX Taxes (8.25%)").
- The buyer's VAT ID: add a custom field to your checkout named "VAT ID" (or VAT number, Tax ID, ABN, GST, USt-IdNr,
TVA, IVA, NIF, BTW). Foliowell uses its answer as
customer.vat_id. - Payment: "Visa ending 4242" or "PayPal".
- Checkout custom fields:
{{#each order.custom_fields}}{{title}}: {{value}}{{/each}}(gift messages and the like).
Numbering
Each template uses either the Webflow order number or a numbering you set: a prefix with {YYYY}, {YY} and {MM}
(the year and month in your time zone), digits and the next number. INV-{YYYY}- with 4 digits gives INV-2026-0001.
An order gets its number in a numbering once and keeps it, however often the document is opened or made again.
Making documents
- One order: Orders tab, open the order, Make (template). The document shows under Documents with Open and Copy link.
- Automatically: Documents tab, Automatic documents: "A new order comes in" or "An order is fulfilled", and the template. Foliowell makes it within a minute of Webflow telling us. If Webflow or the plan stops it, it's listed under Needs attention with Retry.
- In bulk: Orders tab, select orders, choose a template, Make PDF (one PDF with every document) or Make pick list. The file is ready to open for 24 hours.
- Links: a document link opens a fresh PDF made from the order in Webflow, with the same number and date. Links work for 90 days by default (Settings, 7 to 730 days).
The invoice page for your customers
Webflow's order emails can be branded and their wording changed, with a few fields (customer name, store name, store URL, owner name), but they can't carry a link for each order. So Foliowell gives your store one invoice page:
- Documents tab, "Invoice page for your customers": turn it on, choose the template customers get (usually Invoice), Save.
- Copy link.
- In the Designer: Settings > Email > the order confirmation email, add a line like "Download your invoice:" and paste the link.
A customer opens it, types the order number from the email and the email they used at checkout, and gets the PDF. A wrong pair gets the same "couldn't find" message whatever was wrong, and tries are limited per person and per store. Pending and refunded orders don't get an invoice there.
Products
The Products tab lists every SKU with its product, options, SKU code, price and compare-at price. Read stock fills in inventory for the selected SKUs (or the first 100).
- Select SKUs (search narrows the list).
- Choose what to change: Price (by percent, by amount, or set to), Compare-at price (percent above the price, set,
clear), Inventory (add or remove, set to, unlimited) or SKU code (from a pattern with
{product},{variant},{sku},{n}, a prefix, a suffix, or find and replace). - For prices pick a rounding: none, whole, up to whole, ending in .99, ending in .95, nearest 0.05 or 0.10. Currencies without cents (JPY) round in tens and the endings give the next price ending in 9.
- "Show the old price as compare-at" makes it a sale: the old price becomes the compare-at price.
- Preview reads the SKUs from Webflow and lists every before and after; problems (a price that would go up in a sale, inventory below 0, a duplicate SKU code) are shown and left out.
- Apply writes one SKU at a time at your site's Webflow rate limit, with progress. Any SKU changed in Webflow since your preview is skipped.
- History: Undo the newest change within 30 days. SKUs edited since are left as they are.
Note: when a SKU is updated through Webflow's API, Webflow sets its product to the Advanced product type, which shows every product field in the Designer.
Scheduled sales (Pro)
Select SKUs, name the sale, the percent off, the rounding, and when it starts and ends (your computer's time zone). At the start Foliowell lowers the prices and shows the old price as the compare-at price; at the end it puts them back, except any price someone changed during the sale. Two sales can't cover the same SKU at the same time. End now or Cancel at any time.
Stock alerts (Pro)
Stock tab: turn on alerts, choose the default level ("alert at or below 5"), the hour of the daily digest and up to 5 email addresses. Give any SKU its own level in "Level per SKU". Foliowell reads every SKU once when you turn alerts on, then follows Webflow's inventory notifications and re-reads up to 500 SKUs every day.
- An alert is raised once when a SKU drops to its level, again when it runs out, and again after a restock if it drops a second time.
- Untracked (unlimited) SKUs never alert.
- The digest lists everything low or out at your chosen hour. Alerts and the digest show in the Stock tab, and by email once email sending is switched on for Foliowell.
Orders tools
- Export CSV: choose columns, a date range, a tag, or one row per item (order, SKU, product, variant, quantity, price, ship-to). The newest 5,000 orders are scanned; narrow the dates for older ones. Values starting with = + - or @ get a leading apostrophe so spreadsheet apps don't run them.
- Import tracking (Pro): a CSV with Order and Tracking number columns, plus Carrier and Tracking URL if you have them. Check the file first: every row shows Ready, Skipped or Failed with the reason. Then Fulfill these orders adds the carrier, number and URL to each order and marks it fulfilled, with Webflow's shipped email if you leave that ticked. Orders already fulfilled get the tracking details only.
- Tags and notes: saved on the order in Webflow, in its comment field (Webflow keeps it for apps and doesn't show it to shoppers). Foliowell keeps its tags and notes in its own block and leaves any other text there untouched.
Plans and the trial
- 14-day trial per site with everything in Pro and 200 documents, starting the first time Foliowell makes a numbered document, applies a product change, starts a sale or turns on alerts. No card needed.
- Standard $35/month or $350/year per site: documents (500 a month, bulk runs of 100 orders), bulk product changes, export, notes and tags, the invoice page.
- Pro $79/month or $790/year per site: adds alerts and the digest, scheduled sales, tracking import, 5,000 documents a month and bulk runs of 500.
- Workspace $249/month or $2,490/year: every site in your Webflow workspace, Pro on each.
- After the trial or a plan ends, new documents and changes stop; your store isn't touched and links already sent keep working. Plans renew until you cancel in Plan > Manage billing.
Limits
- Refunds and credit notes: in Webflow's Orders tab. Foliowell doesn't refund, cancel or unfulfill orders.
- Foliowell isn't a tax filing or e-invoicing system; check what an invoice must show where you sell.
- PDFs use the standard PDF fonts: Western European letters print fully; others print without their accents, and non-Latin scripts aren't supported yet.
- Product changes go one SKU at a time at your site's rate limit (60 to 120 a minute, depending on the site plan).
- Up to 5,000 SKUs are listed.
Removing Foliowell
Settings > Remove Foliowell deletes our notifications on your site, our access token and everything we stored (templates, numbering, document records, stock levels, history). Document links stop working. Your orders, products, prices, tags and notes in Webflow stay as they are. Cancel a plan in Plan > Manage billing.
