Awaywell for Jira: Privacy Policy
Effective date: October 1, 2026 Publisher: Great Work LLC, 651 N Broad St Suite 206, Middletown, DE 19709, USA Contact: hello@greatwork.company
This policy explains what information the Awaywell app for Jira Cloud (the "App") processes, where it is kept, and your rights. It covers only the App, not Atlassian's products, which are governed by Atlassian's own privacy policy.
1. Summary
- The App runs entirely on Atlassian's Forge platform ("Runs on Atlassian"). It has no servers of its own and sends no data to Great Work or to any third party.
- It changes issues (assignee, an out-of-office comment, a request's approver field) only through your own Jira site's APIs.
- Great Work LLC cannot see your issues, your absences or who covers for whom.
2. What the App processes
| Data | Why | Where it lives |
|---|---|---|
| Each absence: the person's Atlassian account id, who created it, first and last day, time zone, covers (account ids, per project key and id), the chosen options, the optional note, status | To start and end the absence, hand work over and back, and show it in the App | Forge SQL for your site; ended absences are deleted about 13 months after they end |
| Hand-over log: issue id, key, a copy of the summary, project key, from and to account ids, what happened and why, time; for approvals the approver field id and approval id | To hand back only what the App moved, and to show "What moved" | Forge SQL, deleted with its absence |
| Issue facts when acting: summary, status, assignee, project | To check the issue is still the person's, still open, and in scope before changing it | In memory while processing; summary copy as above |
| Pending Jira Service Management approvals and the values of people fields on a request | To add the cover as an approver and remove them on return | In memory while processing |
| Your Jira time zone (from your profile), display names and active flags of people involved, group membership of the signed-in user | To show dates and names, check covers, and check the managers group | Not stored |
| Admin settings (managers group id and name, project scope, note visibility, team view, default note) | To apply your admins' choices | Forge app storage |
The App does not read issue descriptions, attachments or other comments. It does not collect email addresses, IP addresses, passwords, API tokens, payment information or analytics. It sets no cookies and loads no third-party scripts.
3. Where data is stored
All App data is stored by Atlassian in Forge storage (Forge SQL and Forge app storage) for your Jira site, subject to Atlassian's data residency settings. Atlassian is the hosting provider and acts as a subprocessor under Atlassian's terms. Great Work LLC uses no other subprocessors.
4. Who can see what
- Each person sees their own absences and the issues the App moved for them.
- By default everyone on the site can see who is away in the next 30 days and who covers, and the issue view says when the assignee is away. Jira admins can turn the team view off; then only the person, Jira admins and the managers group see absences.
- Jira admins (admin page) and the managers group can create and end absences for other people.
- Out-of-office notes are Jira comments, visible to people who can see the issue. On Jira Service Management requests they are internal (agents only) unless an admin chooses otherwise.
- Great Work LLC: no access. If you open a support request, we see only what you send us.
- Atlassian: as the platform operator, under Atlassian's privacy policy.
5. Retention and deletion
Absences and their logs stay until about 13 months after the absence ends, then the scheduler deletes them. Uninstalling the App removes its Forge storage according to Atlassian's Forge data deletion process. Changes already made in Jira (assignees, comments, approvers) are ordinary Jira changes and stay in the issue history.
6. Support requests
If you contact support through our help desk or by email, we process what you send (name, email, message, attachments) only to answer you, keep it up to 24 months, and delete it sooner on request.
7. Your rights
Depending on where you live (for example EU/UK GDPR or US state privacy laws), you may have the right to access, correct, delete or port personal data and to object to processing. For data in your Jira site, your organization (the Atlassian customer) is the controller and Atlassian processes it on your behalf; you can cancel your own planned absences and your admins can uninstall the App. For support data, Great Work LLC is the controller: email hello@greatwork.company. We respond within 30 days.
8. Security
The App uses only Atlassian-hosted compute and storage, re-reads each issue before changing it, checks every search with Jira's strict query checker, checks that a cover can be assigned in the project before assigning, and never unassigns an issue. It keeps no secrets of its own. Report vulnerabilities to hello@greatwork.company.
9. Children
The App is a business tool and is not directed to children under 16.
10. Changes
We will post changes here and update the effective date. Material changes will also be announced in the App's Marketplace release notes.
