Answerboard documentation

Get started

  1. Install Answerboard from the Atlassian Marketplace (Confluence admin). Sites of up to 10 users pay a flat $10 a month, and every site gets a 30-day free trial.
  2. Open any space. In the space sidebar, under Apps, click Questions. That is the space's Q&A board.
  3. Click Ask a question. Give it a specific title, add details and up to 5 tags, and post.

Questions from every space you can see are under Apps, Questions in the top navigation. Your notifications are under Inbox on any board, and in the Questions for you panel on the Confluence home page.

Asking

  • While you type a title, similar questions already asked in the space appear underneath. Open one to see if it already has your answer.
  • Details use the Confluence editor: code blocks, lists, links and formatting.
  • To ask about a specific page, open the page's ••• menu and choose Ask a question about this page. The question links back to the page, and the page shows Questions (n) under its title.
  • You automatically follow questions you ask or answer.

Answering, voting and accepting

  • Anyone allowed to answer in the space can post an answer. Authors and moderators can edit or delete answers.
  • Vote with ▲ and ▼ (if your admin left voting on). You can't vote on your own posts.
  • The person who asked, or a moderator, clicks Accept answer on the answer that worked. It moves to the top and appears in the FAQ.

Searching

Search reads titles, details, tags, linked page titles and every answer.

Following and notifications

  • Follow a question, a whole space (Follow space on the board), or a tag.
  • You get an inbox notification when someone answers a question you follow, accepts your answer, marks your question as a duplicate, or asks a new question in a space or tag you follow.
  • Confluence does not let apps send email, so notifications are in the app: the Inbox badge on boards and the Questions for you panel on the Confluence home page.

The Questions macro

Type /Questions while editing a page. Choose what it shows:

  • FAQ: accepted answers as an accordion, pinned entries first in the order moderators set.
  • Recent questions or Unanswered questions in the space.
  • Questions about this page.

Options: a heading, one tag, another space key, how many (up to 50), and whether to show an Ask a question button. The Ask button fills in the macro's tag. When the page is exported to PDF or Word, the FAQ is printed as headings with the accepted answers.

Moderation

Space admins, Confluence admins and members of the space's moderator groups can:

  • edit or delete any question or answer, and accept answers on any question,
  • Pin to FAQ, Move up / Move down to order the FAQ,
  • Close / Reopen a question (closed questions take no new answers),
  • Mark duplicate (links to the original, closes it and tells the author),
  • publish the FAQ page (below).

People who asked can delete their own question until it has an answer.

Space settings (space admins)

Space settings, Questions:

  • Permissions: turn Questions on or off for the space; choose groups that may ask, may answer, and moderate. An empty list means everyone who can view the space. Viewing always follows Confluence space permissions.
  • Tags and guidance: curated tag list, "only moderators can create new tags", and a note shown above the ask form.
  • Import and export: paste a CSV, preview, import; export the space to CSV.
  • FAQ page: publish accepted answers to a regular Confluence page (see below).

FAQ page for Confluence search and Rovo

Confluence search and Rovo only read pages, not app data. Publish FAQ page writes every accepted answer in the space (pinned ones first, up to 200) to a page called " FAQ" in that space, as the moderator who clicks it. Publishing again updates the same page. Edits made directly on that page are replaced on the next publish, so edit answers in Questions. If you don't have permission to add pages in the space, Confluence refuses and the app tells you.

Importing

Two CSV layouts work (comma, semicolon or tab separated):

Any FAQ sheet: a header row with Question and Answer columns, optional Tags, Author, Date, Details. Each row becomes a question with that answer accepted and pinned to the FAQ.

Answerboard export format: question_ref,type,title,body,tags,author,created_at,accepted,faq_pinned, with one question row followed by its answer rows. Use it to move questions between spaces or sites.

Original authors and dates are kept as text ("Dana Lee (imported)"), because Confluence accounts can't be matched from a file. Up to 5,000 questions per file; the import runs in batches with a progress bar.

Site settings (Confluence admins)

Apps, Manage apps, Answerboard, Configure: switch voting and downvotes on or off, and show or hide the "Top helpers, last 90 days" list on boards (off by default; there are no points or ranks on profiles).

Licensing

Answerboard is paid through Atlassian ($10 a month for up to 10 users, per user above that, with a 30-day free trial). If the subscription lapses, everything stays readable and searchable, but asking and answering pause until it is renewed in Manage apps.

Privacy and data

All data is stored in Atlassian's Forge platform for your site and never sent to Great Work. See the privacy policy. Uninstalling the app removes its data according to Atlassian's Forge data deletion process; export to CSV first if you want to keep it.
