Vaultwell guide

Vaultwell keeps a history of your site's content and lets you put back exactly what you need. Open it from your Wix dashboard (Apps > Vaultwell). Questions: hello@greatwork.company, answered within one business day.

Getting started

  1. Open Settings. Choose what to back up and check On your site now: it lists what Vaultwell found (products, each CMS collection, posts, services, plans, coupons) with a record count. Untick CMS collections you don't need.
  2. Pick when daily snapshots run (an hour in UTC). On Pro you can choose every hour instead.
  3. Start your 14-day free trial (the button at the top opens Wix's pricing page). The first snapshot runs within a few minutes, then on your schedule. You can also press Take a snapshot now on the Snapshots tab.

Before the trial starts you can do everything in Settings; snapshots and restores begin with the trial.

What's backed up

  • Store products: name, description, price, options and variants with their SKUs, prices and stock, images (as links to your Media Manager; Pro also keeps copies of the files), ribbon, brand, main category, SEO and info sections. Works with both the current Stores catalog and the older one (on the older one, stock isn't restored).
  • CMS collections: every field of every live item in the collections you created, and each collection's field list. Sandbox content and collections that belong to Wix apps aren't part of this.
  • Blog posts: title, text with its formatting and images, excerpt, cover image, categories, tags, SEO settings and whether it was published.
  • Bookings services, Pricing Plans and coupons: their settings as you set them up.
  • Site contacts (optional, off by default): name, emails, phones, addresses, company, labels and custom fields. To switch them on you confirm that your privacy policy allows keeping copies of your customers' details. They're kept 30 days at most on any plan, and switching them off deletes them at once.

Not backed up: orders, payments and invoices, members, bookings customers made, form submissions, and your site design and pages (Wix's Site History restores those).

Between snapshots

When a product, CMS item, post, service, plan, coupon or (if on) contact changes in Wix, Vaultwell saves that version too, a few seconds later. So an item's history shows changes made between two snapshots, and something created and deleted on the same day can still be brought back.

Restoring

Open Restore, pick what to restore from, then:

  • Find a record and open its History. Each version shows what changed. Press Restore this version.
  • Deleted records lists what Vaultwell saved that isn't on your site anymore. Tick the ones you want back.
  • Roll back everything puts a whole collection back as it was in a snapshot. Choose whether records added since then are kept or deleted.

Every restore starts with a preview: each field that will change (now, and after the restore), the records coming back, and anything that can't be put back. If someone edited a record after Vaultwell last saved it, the preview lists those edits as a conflict: restoring overwrites them. Press Restore to go ahead. Vaultwell first saves a snapshot of the current state ("Before a restore" in the list), so you can undo a restore by restoring from that one. If your site changed between the preview and your click, Vaultwell stops and shows the new preview.

What a restore can't put back

  • A deleted product, post, service, plan, coupon or contact comes back with a new id. Past orders, reviews, bookings and old links keep the old one. CMS items come back with their original id. Blog posts and contacts that are still in Wix's own trash come back from there with their id.
  • Multi-reference CMS fields; product category assignments other than the main category; how many times a coupon was used; staff working hours; stock on the older Stores catalog.
  • Wix doesn't let anyone change the price or length of a pricing plan that people have bought; Wix refuses that restore and the report says so.
  • On Standard, an image deleted from your Media Manager can't come back (the product or post is restored without it). Pro keeps copies of image files and puts them back in your Media Manager.
  • Deleted CMS collections and fields aren't recreated: create the collection again, then restore its items.

Snapshots, compare and export

On Snapshots, open any snapshot to see what it holds. For each collection:

  • Records lists and searches what was saved.
  • Compare with site shows what changed, was deleted or was added since that snapshot.
  • Compare with previous shows what changed since the snapshot before it.
  • CSV and JSON download the collection as it was in that snapshot. The CSV has the main columns and the full record as JSON in the last column; cells that a spreadsheet would run as a formula start with a quote.

Restores, previews, history and exports are unlimited. A record that didn't change is stored once, however many snapshots contain it. When storage is full, the oldest snapshots are removed first and the snapshot list says so. During the trial you get your plan's schedule and history with 1 GB and no image copies.

When a plan ends you can still open and export snapshots for 30 days; after that they're deleted. Uninstalling deletes everything 30 days later. Settings > Your data deletes everything at once.

Your data

Snapshots are encrypted and stored on Great Work's server in the United States. They're only used to show and restore your own records. Details: privacy policy, terms.
