Siftboard for Jira: Privacy Policy

Effective date: October 1, 2026 Publisher: Great Work LLC, 651 N Broad St Suite 206, Middletown, DE 19709, USA Contact: hello@greatwork.company

This policy explains what information the Siftboard app for Jira Cloud (the "App") processes, where it is kept, and your rights. It covers only the App, not Atlassian's products, which are governed by Atlassian's own privacy policy.

1. Summary

  • The App runs entirely on Atlassian's Forge platform ("Runs on Atlassian"). It has no servers of its own and sends no data to Great Work or to any third party.
  • Great Work LLC cannot see your Jira issues, filters, dashboards or anything the App shows.
  • Widget and filter bar settings are stored by Jira with the dashboard. The App's own storage holds each viewer's current filter bar picks, their personal presets, and short-lived (two-minute) copies of widget totals so a dashboard with several widgets loads quickly.

2. What the App processes

DataWhyWhere it lives
Filter bar and widget settings: which fields the bar offers, labels, dashboard defaults and shared presets; each widget's saved filter id and name or JQL, field ids, title and footer textTo show the bar and each widget the way they were configuredStored by Jira with the dashboard (gadget or widget configuration), like any built-in gadget
A viewer's filter bar picks on a dashboard (for example project keys, account ids of picked people, sprint ids, option values, date ranges, search words, typed JQL) with the dashboard id and the viewer's Atlassian account idSo every widget on that dashboard applies the same filters for that person, and the picks are still there next visitForge app storage for your site; expires 180 days after the last change
A viewer's personal presets (a name and a set of picks)One-click filter combinations only that person seesForge app storage for your site; expires 365 days after the last change
Widget totals for one viewer (numbers and the labels of the bars or table rows, such as status names or assignee display names)To avoid re-running the same searches when a dashboard is reopened within two minutesForge app storage for your site; deleted automatically after two minutes. Issue lists are never cached
Issue fields returned by Jira search (only the fields a widget needs) and value suggestions for the bar's dropdownsTo count, add up, group and list issues and to offer values to pickRead in memory for one request, as the person viewing the dashboard
The viewer's Atlassian account id with a count of saved widgets and whether they dismissed the review promptTo ask for a review at most onceForge app storage for your site; expires after 365 days

The App does not collect email addresses, passwords, API tokens, payment information, IP addresses or analytics. It sets no cookies and loads no third-party scripts.

3. Where data is stored

All App data is stored by Atlassian, either with your Jira dashboards or in Forge storage associated with your Jira site, subject to Atlassian's data residency settings. Atlassian is the hosting provider and acts as a subprocessor under Atlassian's terms. Great Work LLC uses no other subprocessors for the App.

4. Who can access it

  • People on your site: every widget and every dropdown queries Jira as the person viewing it, so they only ever see issues and values that person can see. Filter bar picks, presets and cached totals are kept per viewer; one person's picks never change another person's view.
  • Dashboard owners and editors: can see and change the bar's and widgets' settings, including the dashboard defaults and shared presets, as with any Jira gadget.
  • Great Work LLC: no access. If you open a support request, we see only what you send us.
  • Atlassian: as the platform operator, under Atlassian's privacy policy.

5. Retention and deletion

Settings remain until the widget or dashboard is deleted. Picks expire 180 days after the last change, presets and the review flag after 365 days, cached totals after two minutes. A viewer can clear their picks and delete presets from the bar at any time. Uninstalling removes Forge app storage according to Atlassian's Forge data deletion process.

6. Support requests

If you contact support through our help desk or by email, we process what you send (name, email, message, attachments) only to answer you, keep it up to 24 months, and delete it sooner on request.

7. Your rights

Depending on where you live (for example EU/UK GDPR or US state privacy laws), you may have the right to access, correct, delete or port personal data and to object to processing. For data in your Jira site, your organization (the Atlassian customer) is the controller and Atlassian processes it on your behalf; your admins can delete widgets or uninstall the App. For support data, Great Work LLC is the controller: email hello@greatwork.company. We respond within 30 days.

8. Security

The App uses only Atlassian-hosted compute and storage, requests read-only Jira access plus its own app storage, acts as the signed-in user for every Jira request (so Jira permissions always apply), builds all JQL from validated values and checks typed JQL with Jira's own parser, and keeps no secrets of its own. Report vulnerabilities to hello@greatwork.company.

9. Children

The App is a business tool and is not directed to children under 16.

10. Changes

We will post changes here and update the effective date. Material changes will also be announced in the App's Marketplace release notes.
