Get started
- Install Siftboard from the Atlassian Marketplace (Jira admin). Every site gets a 30-day free trial. After that it is $11 a month for up to 10 users, then billed per user.
- Open a Jira dashboard and add a gadget (on the new Jira dashboards: add a widget). Search for "Siftboard". It adds five:
- Filter bar (Siftboard): the filters everyone on the dashboard uses
- Filtered count (Siftboard): a count, or a sum of a number field
- Filtered chart (Siftboard): bars by any field, optionally stacked
- Filtered two-way table (Siftboard): counts or sums by two fields, with totals
- Filtered issue list (Siftboard): issues with the columns and order you choose
- Add one Filter bar at the top of the dashboard and any number of the other four.
- Pick values on the bar and click Apply. Every Siftboard widget on the dashboard updates.
Siftboard works on both the classic Jira dashboards and the new Jira dashboards. On the new dashboards the settings open in the dashboard's edit panel and the dashboard's own Save keeps them. On classic dashboards, click Save at the bottom of the settings.
Only Siftboard widgets follow the bar. Jira's own gadgets and other apps' gadgets keep their own filters.
The filter bar
Each filter on the bar is a button showing its name and current value ("All" when nothing is picked). Click one to change it:
- Fields (project, assignee, sprint, status, status category, labels, components, fix versions, work type, priority, team, parent, and custom select, multi-select, checkbox, user and text fields): choose Is any of or Is none of, search, and tick values. The list comes from your Jira, showing only what you can see. Extra choices where they make sense: Me (whoever is viewing) for people fields, Unassigned or No value, Open sprints, Closed sprints, Future sprints, Unreleased versions, Released versions.
- Dates (created, updated, resolved, due and custom date fields): Today, Last 7, 30 or 90 days, This week, Last week, This month, Last month, This year, Last year, No date, or a custom range (the end date is included).
- Search: words in the summary, description or comments.
- JQL (if the dashboard owner allows it): extra JQL added to every widget. Jira checks it when you click Apply.
Changes are staged until you click Apply, so the dashboard runs its searches once. A thin line under a button marks a change you haven't applied yet. Clear removes every pick.
Is none of keeps issues with no value. For example, Labels is none of "ux" also shows issues without any label. To leave out empty ones too, also pick No value under Is none of.
Your picks are yours: someone else viewing the same dashboard has their own, and your picks are still there the next time you open the dashboard.
Presets
- Shared presets are set by whoever edits the dashboard and appear for everyone in Presets....
- Save preset keeps your current picks under a name only you see. Saving with an existing name replaces it.
- Dashboard defaults (shown when the dashboard has defaults) goes back to the picks the dashboard starts with.
Setting up the bar
Edit the filter bar to:
- Add a filter for any field (Add a filter for a field...), or Text search. Up to 12.
- Rename, reorder or remove filters.
- Allow or disallow Let viewers add their own JQL.
- Pick values in the preview and click Use these picks as the dashboard defaults, or Save picks as a shared preset.
You can add more than one filter bar to a dashboard (for example, one for scope and one for people). Widgets apply all of them.
The widgets
Every widget has:
- Issues: a saved filter (search by part of its name, or paste its link or number) or JQL. Leave the JQL empty to use only the filter bar. The bar's picks are added with AND.
- Dashboard filters: Follow the filter bars on this dashboard (on by default), Ignore these fields (for example, a chart grouped by assignee that should always show every assignee), and on the new dashboards Also follow Jira's own dashboard filters.
- A Filtered by line showing what it applied, what it ignored, and any Jira dashboard filter it could not apply.
- A refresh button. Results are kept for two minutes per person so a dashboard with many widgets opens quickly; the button fetches fresh numbers.
- Click-through: every number, bar, segment and table cell opens the issue navigator with exactly the issues it counts (the widget's JQL AND the bar's picks).
Filtered count
Count of issues, or Sum, Average, Minimum or Maximum of any number field (story points, time tracking in hours, custom number fields). Prefix, suffix and decimals.
Filtered chart
Group by any field, including custom fields, people, sprints, labels and dates per day, week, month, quarter or year. Optionally stack by a second field. Count or add up a number field. Largest first, smallest first, A to Z or Jira's order; the biggest values are shown and the rest are grouped as Other.
Filtered two-way table
Rows by one field and columns by another (for example assignee by status category), with row and column totals. Every cell opens its issues.
Filtered issue list
Choose up to 10 columns, the sort field and direction, and 10, 20, 50 or 100 rows per page. Show more loads the next page. The key (or summary) opens the issue.
Large filters
- Counts are exact up to 20,000 issues; beyond that Siftboard uses Jira's own count service and says "About this many".
- Charts and tables read up to 10,000 issues in one refresh. On bigger filters, each value found is counted by Jira across the whole filter, and Other is everything else, so the numbers cover all issues. On fields with several values per issue (labels, components) and on stacked charts, values that first appear after the first 10,000 issues are not listed, and the widget says so.
- Sums and averages over more than 10,000 issues show a "Partial result" note. Narrow the filters for an exact value.
New Jira dashboards and Jira's own dashboard filters
The new Jira dashboards have their own filter bar for Atlassian's charts. Siftboard widgets also apply Jira's dashboard filters that can be expressed in JQL (fields such as project, status, priority, work type, assignee, labels, components, fix versions and sprint). Any other Jira dashboard filter is listed under Not applied here so you know the number doesn't include it. Turn this off per widget with Also follow Jira's own dashboard filters.
Permissions and privacy
Everything runs as the person viewing the dashboard: they only see issues and values they are allowed to see. Siftboard runs entirely on Atlassian's platform and sends no data anywhere else. See the privacy policy for what is stored and for how long.
Limits
- Up to 12 filters per bar, 50 values per filter, 20 shared and 20 personal presets per bar.
- Issue list pages of at most 100 rows.
- Siftboard widgets follow Siftboard filter bars only.
