Add a spreadsheet to a page

  1. Edit a page or blog post and type /Sheetkeep, then choose Sheetkeep spreadsheet.
  2. Publish the page. The spreadsheet appears in view mode, ready to type in.
  3. Start typing, or use Import > CSV or XLSX file, or Import > Copy or recover from this space to start from another spreadsheet.

You edit in view mode; there is no need to open the page editor. Sheetkeep saves about a second after you stop typing. The status at the bottom right says "Saved, version N".

Typing and formulas

  • Type a value and press Enter (down) or Tab (right). F2 or double-click edits a cell; Esc cancels. Delete clears the selection. Ctrl or Cmd with Z, Y, B, A: undo, redo, bold, select all. Arrows move; Shift extends the selection; Ctrl or Cmd with an arrow jumps to the edge.
  • Formulas start with "=": =SUM(E2:E9), =IF(F2="Ordered",E2,0), =VLOOKUP(H2,Vendors!A2:D6,4,FALSE), =SUMIF(B2:B9,"Hardware",E2:E9), =EDATE(G2,1).
  • References: B2, $B$2 (absolute), B2:D9 (range), D:D (whole column), 'Q3 budget'!B7 (another sheet; quote names with spaces).
  • Functions: SUM, AVERAGE, MIN, MAX, COUNT, COUNTA, COUNTBLANK, PRODUCT, MEDIAN, SUMPRODUCT, ROUND, ROUNDUP, ROUNDDOWN, INT, ABS, SQRT, MOD, POWER, IF, IFS, IFERROR, AND, OR, NOT, ISBLANK, ISNUMBER, ISTEXT, ISERROR, CONCAT, CONCATENATE, LEN, LEFT, RIGHT, MID, UPPER, LOWER, TRIM, VALUE, TODAY, DATE, YEAR, MONTH, DAY, WEEKDAY, DAYS, EDATE, SUMIF, SUMIFS, COUNTIF, COUNTIFS, AVERAGEIF, VLOOKUP, HLOOKUP, MATCH, INDEX, XLOOKUP. Operators: + - * / ^ & % and comparisons.
  • Errors: #DIV/0! (division by zero), #REF! (the row, column or sheet was deleted), #NAME? (unknown function), #VALUE! (text where a number is needed), #N/A (lookup found nothing), #CIRC! (a formula depends on itself). Hover the cell or look at the formula bar for details.
  • A new formula takes the number format of the first cell it refers to that has one, so =C2*D2 next to a price shows as a price.

Rows, columns, sheets and formats

  • Rows and Columns menus: insert above, below, left or right of the selection, delete, freeze header rows or columns, sort by the selected column (the header rows you froze stay put).
  • Rows move as a whole when you sort, and formulas keep pointing at the same records.
  • Sheet tabs at the bottom: + adds a sheet, double-click renames, × deletes (it stays in the history).
  • Formats: bold, alignment, fill, number, currency, percent, date, text, and decimal places.
  • View > Numbers and dates sets how numbers and dates are typed and shown for the whole spreadsheet (for example Deutsch: 1.234,50 and 31.12.2026, with ";" between formula arguments). View also sets the height of the spreadsheet on the page for you.

Import and download

  • Import > CSV or XLSX file, up to 10 MB. XLSX brings every sheet, formulas, number formats, bold, frozen panes and column widths. Formulas using a function Sheetkeep does not calculate keep their last value, and the import message says how many. CSV values are read in the spreadsheet's locale; CSV cells that start with "=" stay text.
  • Importing into an empty spreadsheet replaces the blank sheet; otherwise the sheets are added. The version before the import stays in the history.
  • Download > Workbook as XLSX or This sheet as CSV. Excel recalculates the formulas on open. CSV uses ";" for decimal-comma locales and protects against formula injection.
  • PDF and Word export of the page show the first sheet as a table of calculated values (up to 500 rows and 30 columns; the export says when it is cut).

Versions, merges and recovery

  • History lists every save with who saved it and when. Click a version to preview it, download it, give it a name, or Restore this version. A restore is a new version, so you can always go back.
  • Named versions are kept forever. Every version from the last 30 days is kept; older ones are kept as the last version of each hour (up to a year) and then of each day.
  • Saving at the same time: if someone else saved since you opened the page, your save is merged with theirs. Different cells: both kept. A row one person deleted while the other edited it: kept, with a note. The same cell changed by both: Sheetkeep shows both values and you pick, per cell or all at once. Nothing is saved until you choose.
  • Lost connection or closed tab: edits are kept in your browser until they are saved. Reopen the page in the same browser and click Restore them on the yellow bar.
  • Copied pages: the copy starts with its own copy of the spreadsheet (if you can see the original page). Editing one never changes the other.
  • Deleted page or removed macro: the data stays. Space admins find it under Space settings > Sheetkeep spreadsheets (marked "recoverable") and can download it, or insert a new Sheetkeep macro and use Import > Copy or recover from this space.
  • Subscription ended: spreadsheets turn read-only; viewing, history and downloads keep working.

Limits

20,000 rows, 500 columns and 250,000 filled cells per spreadsheet; 50 sheets; 32,000 characters per cell; imports up to 10 MB. Not yet: charts, conditional formatting, merged cells, cell comments, array formulas.

Moving from Data Center or another spreadsheet app

Export each spreadsheet to XLSX from the old tool (most offer "Export to Excel"), insert a Sheetkeep macro on the Cloud page and import the file. Check the import message for formulas that came in as values.
