Optionwell for Jira: Privacy Policy

Effective date: October 1, 2026 Publisher: Great Work LLC, 651 N Broad St Suite 206, Middletown, DE 19709, USA Contact: hello@greatwork.company

This policy explains what information the Optionwell app for Jira Cloud (the "App") processes, where it is kept, and your rights. It covers only the App, not Atlassian's products, which are governed by Atlassian's own privacy policy.

1. Summary

  • The App runs entirely on Atlassian's Forge platform ("Runs on Atlassian"). It has no servers of its own and sends no data to Great Work or to any third party.
  • The App reads select-list custom fields, their contexts and options, field schemes, project names, and people's group memberships in your Jira site, and adds, renames, reorders, disables, enables and deletes (unused) options when a person the App's delegation rules allow asks it to.
  • The App stores delegations, field owners, settings, change requests and a history in its storage on Atlassian's platform for your site.
  • Great Work LLC cannot see your fields, options, requests or history.

2. What the App processes

DataWhyWhere it lives
Delegations: field id and name, context ids and names, the delegates' account IDs or group IDs with the name shown when saved, allowed actions, approval switch, add cap, note, who created it and whenTo decide who may change which optionsForge app storage for your site until changed or uninstall
Field owners: field id and name, owners' account IDsApprovals and notificationsForge app storage until changed or uninstall
Settings: notification work item key, two switches, request expiryTo apply your admins' choicesForge app storage until changed or uninstall
Change requests: field and context, the requested changes (option ids and option text), the requester's account ID, time, reason, status, decision note, who decided and whenApproval flow and historyForge app storage; deleted automatically 365 days after the last change
History entries: time, account IDs of who requested, approved and ran a change, field and context, each change with the option text before and after and its result, notesSo people can see who changed what, and undo itForge app storage; the latest 20,000 entries, each deleted automatically after 365 days
Pasted or uploaded import textTo build a previewIn memory while the preview is built; only the resulting changes are stored, not the file
Group IDs of the signed-in personTo check group delegations on each requestRead from Jira for each request; not stored
Usage countsShown in the option editorCounted by Jira on request; not stored

The App stores account IDs, not names or email addresses; names are looked up from Jira when shown. The App does not read work item content: usage counts are Jira's count of work items that hold an option. It does not collect passwords, API tokens, IP addresses, payment information or analytics, sets no cookies and loads no third-party scripts.

3. Notifications

When a Jira admin picks a notification work item, the App asks Jira to email field owners and requesters about requests and changes through Jira's own notification service, attached to that work item. Jira sends these emails; the App does not send email itself or use any outside email service. Only people who can browse that work item receive them.

4. Where data is stored

All App data is stored by Atlassian in Forge app storage for your Jira site, encrypted at rest by the platform and subject to Atlassian's data residency settings. Atlassian is the hosting provider and acts as a subprocessor under Atlassian's terms. Great Work LLC uses no other subprocessors for the App.

5. Who can see it

  • Jira admins: everything, through the App's admin page and Field options page.
  • Field owners: requests and history for their fields.
  • Delegates: requests and history for the fields and contexts delegated to them, and their own requests.

The App checks this on every request. Great Work LLC has no access.

6. Retention and deletion

Retention is listed in section 2. Uninstalling the App deletes its storage according to Atlassian's Forge data lifecycle. Option changes the App made in Jira stay in Jira, as they would if made by hand.

7. Support requests

If you email us or use our help desk, we receive what you send (your name, email address and message). We use it only to answer you and keep it for up to 24 months. Please do not send passwords, API tokens or exports we do not need.

8. Your rights

Your Jira site's admins control the App's data and can delete it by uninstalling the App. For anything else, including access, correction or deletion requests about support correspondence, write to hello@greatwork.company. If you are in the EU, UK or California you have the rights your local law gives you; we will answer within 30 days.

9. Changes

We will post changes here with a new effective date and note material changes in the App's release notes.
