Lobbywell documentation

What Lobbywell adds

Lobbywell turns a Confluence space into an intranet home. It has six macros you put on any page, announcement banners, a theme per space, and an admin page.

PartWhat it does
Lobbywell headerYour intranet's logo, name, tagline and a greeting, in the space's colors
Lobbywell news feedBlog posts from your spaces, featured posts on top, pictures, "New" on what you have not read
Lobbywell quick linksApp launcher tiles with icons and short descriptions
Lobbywell eventsUpcoming events from pages labelled "event", as a list or a month calendar
Lobbywell people directoryEveryone in a group with job title, department and location; search and filters
Lobbywell welcome and celebrationsNew joiners, and birthdays and work anniversaries people chose to share
BannersAnnouncements at the top of every page in a space, or the whole site, for the groups you pick

Set up an intranet space (10 minutes)

  1. Pick or create the space for your intranet home (or one per department).
  2. Attach your logo image to the space home page.
  3. Open Space settings > Lobbywell > Theme: intranet name, tagline, accent color, logo, corners, spacing, greeting. Save.
  4. Edit the space home page and type /Lobbywell. Add the header at the top, then the news feed, quick links, events, people directory and celebrations where you want them. Confluence layouts (two or three columns) work well: news on the left, events and celebrations on the right.
  5. A Confluence admin opens Confluence administration > Lobbywell once to pick the people directory group and add start dates for new joiners.

News feed

  • Spaces: blank means the space the macro is on. Several: HR, ENG, OPS.
  • Labels: only posts with any of these labels, for example news, announcement. Blank shows every blog post.
  • Featured label (default featured): posts with this label are pinned on top, up to three.
  • Pictures: the first image attached to a post is its picture. Add or replace it by attaching an image to the post.
  • New: a post shows "New" for each person until they open it, for posts younger than the number of days you choose (default 30). "Mark all read" clears them.
  • Layouts: Magazine (big first post, cards below), Cards, or a compact list.
  • People only see posts they can open in Confluence.

Banners

  • Space banners: Space settings > Lobbywell > Banners. They show at the top of every page and blog post in that space. Space admins manage them.
  • Site banners: Confluence administration > Lobbywell > Site banners. They show in every space. Confluence admins manage them.
  • Audience: pick groups, or leave it empty for everyone who can see the page.
  • Schedule: an optional start date and a required end date (at most 365 days). Banners end on their own.
  • Acknowledge: ask people to acknowledge; the banner stays until they do. Without it, you can let people dismiss the banner.
  • Report: for banners that ask for acknowledgement, Report lists who acknowledged and when, and, for group banners, who in those groups has not yet. Copy the CSV for your records.
  • Archive a banner to stop it at once.

People directory

  • Group: type the exact group name in the macro, or leave it blank to use the default group from Confluence administration > Lobbywell > Directory.
  • Fields: name and picture, job title, department and location from each person's Atlassian profile (what they or your directory filled in at Atlassian, following their profile visibility settings).
  • Gaps: where a profile field is empty, a Confluence admin can fill it on the People tab. A value in the Atlassian profile always wins.
  • Hide: hide service accounts and others from every Lobbywell list on the People tab.
  • Refresh: the directory refreshes every 6 hours; "Refresh directory now" on the Directory tab does it at once. Up to 2,000 people per group.

Events and calendar

  • Label a page event (or the label you choose in the macro).
  • In the page, type /date and pick the date. A second date is the end date for events over several days.
  • Add a line starting Location: (or Where:) for the place.
  • The first other paragraph is the description.
  • Labelled pages without a date are listed under the events for editors, so nothing gets lost.
  • Views: Upcoming list (how many days ahead, how many events) or Month calendar (days with events are highlighted; pick a day to see its events).

Quick links

One tile per line in the macro settings:

Handbook | /wiki/spaces/HR | handbook | Policies and how-tos
IT help | https://help.example.com | it | Laptops, access, VPN

Label, link, icon and an optional description. Links can be https:// addresses, Confluence paths, or mailto:. Icons: link, home, people, calendar, handbook, benefits, payroll, expenses, it, email, phone, office, location, news, idea, security, settings, folder, reports, forms, learning, travel, jobs, star, mobile, inbox, welcome.

Welcome and celebrations

  • New joiners: a Confluence admin adds a start date (and a welcome line) on the People tab. People show for 30 days after they start (you choose), and from a week before.
  • Birthdays and work anniversaries: each person chooses in My celebrations on the macro. Only the month and day of a birthday are kept, never the year. Nothing shows unless they switch it on. Admins see whether someone shares, not the date.

PDF and Word export

Every macro exports real content: the news feed as titles, dates and opening lines; events as a table; the directory as a table (first 200 people); quick links as a list; celebrations as a list; the header as a panel.

Dark mode and phones

Every color is an Atlassian design color, so Lobbywell follows Confluence's light and dark themes. Cards, tiles and filters wrap to the width of the screen.

Without a subscription

If the subscription ends, the macros still list the news, events, people and links as plain text and links, banners stop showing, and settings can't be changed until it is renewed.

Privacy

Lobbywell runs on Atlassian Forge and sends nothing outside Atlassian. See the privacy policy: https://greatwork.company/apps/lobbywell/privacy.
