Linktally documentation

Public knowledge base source (https://greatwork.company/apps/linktally/docs).

Getting started

  1. Install Linktally from the Atlassian Marketplace. A full scan of your site starts right away. Confluence administration > Apps > Linktally links shows its progress; most sites finish within minutes, large ones within a few hours.
  2. On any page, the byline shows N incoming links. Open it to see the pages that link here and any broken links on this page.
  3. Type /Incoming links in the editor to add the Incoming links (Linktally) macro.
  4. In any space, open Link checker in the space sidebar for the broken link report and relinking.

The Incoming links macro

Lists every page and blog post that links to this page, grouped by space. Options:

  • Heading: defaults to "Pages linking here".
  • Page: leave empty for the current page, or paste another page's link or id.
  • Layout: group by space, or one list.
  • Show at most: 5 to 500 (default 50).

Counts page links, pasted URLs, smart link cards, links to headings, and short links made with Copy link or Share. Each reader sees only pages they can open.

The Link checker

Each row is a link on a page in this space, with what's wrong and what to do:

ProblemMeaningWhat to do
Page deletedThe linked page no longer exists (or is restricted so neither you nor Linktally can see it)Relink to the page that replaced it, or remove the link
Page in trashThe linked page is in its space's trashRestore it from the space trash, or relink
Page does not existA page link to a title nobody createdCreate the page, or relink
Attachment missingA linked or embedded file is no longer attachedUpload it again, or remove the link
Space does not existA link to a space that was deletedRemove or change the link
Anchor not on pageA link to a heading that was renamed or removedEdit the link, or rename the heading back
Page archivedStill opens; worth knowingRelink if the archived page was replaced
Points at old siteA link to your former Data Center or Server addressFix old site links

Only links to this site are checked. Links to other websites are never visited.

Filter by problem, and use Export CSV for the full list. Space admins can Rescan space.

Relinking

Use it after a page was deleted, merged or replaced.

  1. In Link checker, choose Relink on a row, or open the Relink tab and paste the old page's link or id.
  2. Paste the new page's link or id. Choose every space, or this space only.
  3. Preview lists every page that will change, how many links on each, and any page you aren't allowed to change. If some links jump to a heading the new page doesn't have, you'll see a warning.
  4. Change N pages applies it. Each page gets a normal new version with the note "Linktally: N links now point at ...", made as you.
  5. Undo puts every page back to its earlier text, except pages someone edited since (those are left alone and listed). History and Undo are available for 90 days.

Who can relink: space admins (in their spaces) and Confluence admins by default. A Confluence admin can allow anyone who can edit the pages.

Old site links (after a migration)

  1. Confluence administration > Apps > Linktally links > Moved from Data Center, Server or another site? Add the old address, for example wiki.example.com. Save.
  2. Run a full scan (same page) so existing links are re-read.
  3. In each space's Link checker, Fix old site links previews and then changes links that name a page (/display/SPACE/Title, or a page URL with its title) into links to the page with the same title here. Links by old page id are listed for you to fix by hand.

Settings (Confluence admins)

  • Index: page and link counts per space, last full scan, Run full scan, Cancel, Clear and rebuild.
  • Who can relink: space admins and Confluence admins, or anyone who can edit the pages.
  • Spaces: space keys never indexed; personal spaces on or off (off by default).
  • Old site address: see above.
  • Byline: show or hide the incoming link count.

How it works

Linktally reads each page's stored content when it is published and records the links in your site's Forge storage. Confluence's page events keep it current, and a weekly full scan catches anything missed. Lists and reports run as the person viewing them, and relinks run as the person who confirms them. Nothing leaves Atlassian.

FAQ

  • Incoming links are empty right after install. The first scan is still running.
  • A page I know links here isn't listed. You can't open that page, it's in an excluded space, or it's a personal space (off by default).
  • Do links from Jira count? No. Linktally indexes Confluence pages and blog posts.
  • What happens without an active subscription? Links keep being indexed and past relinks can still be undone; the macro, reports and new relinks show a note until you renew.
