Hourmint documentation
Set up (Jira admin, 5 minutes)
- Jira settings > Apps > Hourmint, or Apps > Hourmint invoices > Settings.
- Your company: name, address, payment details (printed under the totals), logo (PNG or JPEG), footer, paper size.
- Numbers and money: invoice number pattern (
{YYYY},{YY},{MM},{SEQ}or{SEQ:4}for zero padding) and the next sequence number, so you can continue your current numbering. Default currency, hourly rate, tax label and rate, payment terms, number format (locale) and time zone (decides which day a late-evening worklog belongs to). - What gets billed: rounding (exact, up to N minutes, nearest N minutes, applied per
worklog), minimum minutes per worklog, non-billable labels and issue types, a non-billable
tag for worklog comments (default
#nobill), and optionally "only bill issues labelled". - Who can bill: Jira groups allowed to use Hourmint. Jira admins always can. Rates and invoices are hidden from everyone else.
Clients and rates
A client is who you invoice. Give it a name and billing details, then tell Hourmint where its
work is: one or more Jira projects, extra JQL (for example component = "Billing" or
Organizations = "Acme" in Jira Service Management), or both.
Rates: a client default rate (or the site default), plus rate rules by person, issue type, project and label. A rule with more conditions beats a rule with fewer. A From date makes a rule apply only to time logged on or after that day; when two rules match equally, the later From date wins, then the order in the list.
Making an invoice
- New invoice, pick the client and the period (presets: last month, this month, last week, this week, last quarter), choose how lines are grouped (per issue, person, issue type, project, epic, one line, or per worklog), then Load time from Jira.
- Review the lines and the worklog list. Untick worklogs to leave them off. "Show worklogs left off" lists everything not billed and why (non-billable label, tag, already billed on another invoice, and so on).
- Edit line descriptions, add fixed fees, expenses (not taxed by default) and discounts, set the tax rate, notes and issue date, and choose whether to attach the timesheet page.
- Save draft to come back later (reopening a draft reloads the time from Jira and keeps your edits), or Issue invoice. Issuing assigns the next number and locks the worklogs.
After issuing
- Download PDF, Timesheet CSV, QuickBooks CSV, Xero CSV.
- Mark paid (and Mark unpaid). Void keeps the number used, prints the reason on the PDF, and releases the worklogs so they can be billed again.
- On the Invoices list, select several invoices to export one QuickBooks, Xero or line CSV.
Month end for every client
Unbilled time reads every client's time for a period, shows unbilled hours and value, time already billed and time left off as non-billable, and creates drafts for the clients you tick. Clients that already have a draft for the period are not ticked.
Importing into accounting
- QuickBooks Online: Sales > Invoices > Import invoices, upload the CSV, map the columns (names match QuickBooks' template). Dates are MM/DD/YYYY. The customer name must match QuickBooks exactly: set "Name in QuickBooks / Xero" on the client if it differs.
- Xero: Sales > Invoices > Import, upload the CSV. Set the client's Xero account code (default 200). The tax type column reads like "Sales tax 8.25%"; map it to your Xero tax rate.
Limits
Up to 3,000 worklogs and 500 lines per invoice. PDFs use the standard PDF fonts: accented Latin text prints, other scripts print as "?". Hourmint reads Jira worklogs (Tempo writes its worklogs to Jira by default). It doesn't email invoices or take payments.
Privacy
Hourmint runs entirely on Atlassian. PDFs and CSVs are made in your browser. See the privacy policy for details.
