Factwell documentation

Factwell turns the Page Properties tables on your Confluence pages into a live report you can sort, filter, group, total, chart and export.

Add a report

  1. Edit the page where the report should live (a project home, a team space overview).
  2. Type /Page properties report (Factwell) and press Enter. The settings panel opens.
  3. Under Which pages, enter the label your pages share (for example project-status), and pick the spaces: this space, several spaces, or all spaces.
  4. Press Check to see how many pages match, then Save and publish the page.

The first load reads every matching page; after that, Factwell only re-reads pages that changed.

Choose the pages

OptionWhat it does
LabelsPages with any (or all) of the labels you list. Optional.
SpacesThis space, a list of spaces, or every space you can see.
Page treePages below this page, or below another page (paste its link). The tree is read live, so new and moved pages appear right away.
CQLYour own Confluence Query Language search, for example space in ("ENG","OPS") AND created >= "2026-01-01". It replaces labels, spaces and tree.
Properties IDOnly Page Properties macros with this ID, when a page has more than one table.
Include blog postsBlog posts with properties tables are listed too.
Pages with no tableLists matching pages even when they have no properties table (handy for finding pages someone forgot to fill in).
Pickmark valuesWhen the Pickmark app is installed, its dropdown, status, checkbox and date values become columns too.

Factwell reads two table layouts: keys in the first column with values next to them (the usual layout), or a header row of keys over one row of values. Keys match without case, extra spaces or a trailing colon, so "Owner:" and "owner" are one column. When a page has the same key twice, the first value wins.

Columns

Leave Columns empty to show the page title, every property found and the last update date. To choose, press Find columns in matching pages, then add columns in the order you want. Each column can have its own name and a width in percent. Besides properties, you can show Space, Created, Created by, Last updated, Last updated by and Labels.

Factwell recognizes what a column holds: numbers ("$12,500", "45%", "1.234,50"), dates (date lozenges and typed dates such as 2026-10-01, Oct 1, 2026 or 01.10.2026), statuses, people and links. Numbers and dates sort and filter as numbers and dates.

Sort, filter, group and total

  • Sort on up to three columns. Empty cells always go last.
  • Saved filters apply for everyone and in PDF and Word exports: is, is not, contains, is empty, greater or less than, before or after a date, in the past, in the next or last N days. Use | between several values ("Done | Cancelled").
  • Group by any column. Each group gets its own table and subtotals.
  • Totals row: number columns show a sum (or average, min or max, chosen per column); other columns show how many cells are filled.

Charts

Pick a bar or pie chart, the column that defines the bars or slices, and whether to count pages or sum a number column. The 11 largest values are shown and the rest are combined as "Other".

On the published page

When Viewers can search, filter... is on (the default), readers can search, add filters, pick columns, group, sort, switch the chart and export CSV. None of this changes the saved report.

  • Export CSV shows the rows you see (filters, sort, columns) as CSV with a link to every page. Use the copy button, then paste into a spreadsheet or save the text as a .csv file.
  • Refresh reads every page again.
  • Stop loading keeps what has loaded so far on very large reports.

Speed and limits

  • A report reads up to the Most pages to read setting (100 to 5,000). Pages load in batches, so the table fills in while the rest is read.
  • Reuse a viewer's result for (default 10 minutes) shows a person their last result instead of searching again. Results are never shared between people.
  • New pages and label changes can take about a minute to appear in Confluence search. Page-tree reports read the tree directly, so new pages show up right away there.

Permissions and privacy

Every report runs as the person looking at it. Pages they can't open don't appear, and nothing they see is shown to anyone else. Factwell never changes your pages and sends nothing outside Atlassian. See the privacy policy for what is stored and for how long.
