Pivotwell documentation
Pivotwell builds pivot tables over Jira work items and worklogs: any JQL in, rows and columns from any field, sums of story points, hours or any number out. Everything runs on Atlassian's Forge platform with the viewing person's Jira permissions.
Get started
- Open Apps > Pivotwell in Jira's top bar.
- Type a JQL query, for example
project = WEB AND created >= startOfYear(). Click Check JQL if you want Jira to check it first. - Pick Rows (for example Assignee) and Columns (for example Sprint).
- Pick Measures: Count of work items, or Sum / Average / Minimum / Maximum of a number field (Story point estimate, Original estimate, Time Spent, any custom number), Age, Days to resolve or Days in current status category.
- Click Run pivot. Click any number to list the work items behind it.
- Save report, choose who can view and edit, and add the Pivot report (Pivotwell) widget to a dashboard.
Rows and columns
- Up to three row fields (with subtotals) and two column fields.
- Any field Jira can group by: status, status category, assignee, reporter, work type, priority, project, resolution, components, labels, fix versions, affects versions, sprint, parent (epic), team, custom selects, multi-selects, cascading selects, user pickers, short text and number fields.
- Dates (created, updated, resolved, due date, any date field, worklog date) group by day, week (weeks start on Monday), month, quarter or year.
- Fields with several values (labels, components, versions, sprints, multi-selects) put a work item in each of its rows. Totals and subtotals still count each work item once, so rows can add up to more than the total.
- Work items without a value show as No value (and can be opened like any other row).
Measures
| Measure | Notes |
|---|---|
| Count of work items | Each work item once per cell |
| Sum, average, minimum, maximum of a number field | Empty values are left out of averages |
| Time Spent, Original estimate, Remaining estimate | Shown in hours |
| Age (days since created) | As of when the pivot ran |
| Days to resolve | Resolved work items only |
| Days in current status category | Since the status category last changed |
| Hours logged, count of worklogs | Worklog mode only |
Worklog mode
Choose Pivot worklogs (time logged) to measure worklogs instead of work items. Add a date range, then use Worklog author and Worklog date as rows or columns, together with any work item field (project, epic, labels). Every worklog is read, including work items with more than 20 worklogs. The JQL is narrowed to work items with worklogs in the range automatically.
Filters
Add filter picks a field and values (taken from your JQL's work items). "Is one of" keeps work items with any picked value; "is none of" removes them and keeps work items where the field is empty. Pick No value to include or exclude empty ones.
Sort, top N, totals, formatting, charts
- Sort rows by field order (statuses in workflow order, dates in time order), by name, or by the value of a measure; sort columns the same way.
- Show top N rows keeps the first N top-level rows after sorting; the grand total still includes everything.
- Turn subtotals and the grand total on or off.
- Heatmap shades cells by value; Color rules color cells that match conditions such as
>= 40orbetween 10 and 20. - Charts: bar, stacked bar, line and pie, drawn from the same numbers. Click a bar, point or slice to list its work items.
Saved reports and sharing
- Only me, Everyone on this site, or Members of groups can view. Add editors (people or groups); editors change the pivot, the owner and Jira admins change sharing.
- Viewers always see numbers from the work items they can see.
- Save a copy makes your own editable version of a shared report.
- Jira admins: Jira settings > Apps > Pivotwell lists every report, flags owners who are no longer active, and lets you change the owner or delete a report.
Dashboards
Add Pivot report (Pivotwell) to a new or classic Jira dashboard, pick a saved report, and choose chart and table, table only, or chart only. The widget uses the report's formatting and chart settings. Dashboard viewers need the report shared with them.
Limits and caching
| Limit | Value |
|---|---|
| Work items per pivot | 50,000 (20,000 in worklog mode); above that the result says it is partial |
| Run inside the page | Up to 1,000 work items (200 in worklog mode); larger pivots run in the background on Atlassian's servers, with progress |
| Background run time | 12 minutes; a longer run returns what it read and says so |
| Distinct values per field | 5,000 as a row, 400 as a column; the rest are grouped as "Other values" |
| Shown in the table | 2,000 rows and 60 columns (totals include everything) |
| Result cache | Per person, 60 minutes by default (Jira admins can set 5 to 1,440); Refresh from Jira reads fresh |
Export
Export CSV and Export Excel build the file in your browser with the table as shown (subtotals and totals included). Numbers stay numbers in Excel. Nothing is uploaded.
Coming from Data Center
Rebuild each report from its JQL: dimensions become rows or columns, measures map to count, sum, average, minimum or maximum, worklog reports map to worklog mode with a date range.
| Data Center report | Pivotwell |
|---|---|
| Two dimensional filter statistics | Rows and columns, Count of work items |
| Story points by assignee per sprint | Rows Assignee, columns Sprint, Sum of Story point estimate |
| Time spent per user per month | Worklog mode, rows Worklog author, columns Worklog date by month, Hours logged |
| Epic roll-up | Rows Parent, Sum of points and Time Spent |
